Location: Hammersmith, London – Imperial College London
Hours of Work: Monday to Friday, 08:00–17:00
Reporting to: Lead Contract Support
About The Role
We are looking for an organised and proactive PPM Contract Support professional to support the delivery of planned maintenance services across our Imperial College London contract.
Based at Hammersmith, you'll coordinate Planned Preventative Maintenance activities, maintain accurate records within Planon and work closely with engineers, supervisors and subcontractors to ensure work is scheduled, completed and administratively closed within the required timescales.
You'll be supporting a complex university environment where compliance, accurate maintenance records and reliable service delivery are key priorities.
Key Responsibilities
- Allocate and schedule PPM tasks for Dalkia engineers and subcontractors, ensuring visits are arranged within the required timescales
- Monitor completion deadlines and follow up outstanding work, service reports and supporting documentation
- Maintain accurate PPM records and completion evidence within Planon and other contract systems
- Support the administrative closure of PPM tasks in line with SFG20, contractual requirements and monthly reporting deadlines
- Coordinate site access, permits and parking arrangements for engineers and subcontractors in accordance with Imperial College London procedures
- Produce operational reports and support purchase orders, invoices, shared inboxes and helpdesk enquiries

What We're Looking For
- Previous experience in contract support, facilities administration, maintenance coordination or a similar role
- Strong organisational skills, with the ability to manage multiple activities and meet deadlines
- Excellent attention to detail and confidence maintaining accurate records and documentation
- Good Microsoft Office skills and experience using administrative, workflow or job-management systems
- A professional and proactive approach to working with colleagues, engineers, subcontractors, clients and end users
Previous experience using Planon or another CAFM system, together with knowledge of PPM delivery, SFG20 or facilities management, would further support your application.
