Equans is looking for a Contract Support Administrator to join our team on our Sandwell Hospital FM contract in Hallam Street, West Bromwich, B71 4HJ on a permanent basis. This is a full-time position working 37.5 hours per week, from 09:00 to 17:00, Monday to Friday with a 30-minute unpaid break. On offer is a competitive salary and benefits package.
General Overview
The primary role will be the delivery of administrative services on the Sandwell & West Birmingham NHS Contract, reporting directly into the Performance Analyst. You will provide a professional service to all our customers, both internal and external, in all areas of contract administration in accordance with the scope of the business. You will support your team members with a variety of tasks and contribute significantly to the overall efficacy and delivery of service ensuring that the client relationship is fostered with the prompt delivery of services and supporting information. The post holder will work as part of an administrative team providing support to the contract. Close working will be required with the client, external contractors as well as technical, Helpdesk and management colleagues.
Duties will include general administrative duties as well as taking specific responsibility for certain areas such as HR issues, stores ordering, minor works support, finance, and reporting.
What will you deliver?
- Generate purchase orders for Reactive/Quoted works, Minor Works, and PPM using purchasing system Coupa.
- Invoice and credit approvals – 3 Way Match, Quality checking invoice/credit for correct value and matching information to the PO, dispute discrepancies with subcontractor or suppliers. Chase appropriate party for supporting information if not in place.
- Onboarding new suppliers onto Coupa
- Review and update POEM and GRIR
- Liaise with Contract Managers and Supervisors to effectively deal with subcontractor/supplier invoicing queries escalating issues where necessary to Management team.

Who are we looking for?
- GCSEs at Grade C/4 or above/equivalent
- Experience of working within a FM/Technical environment would be an advantage, but not essential.
- Good interpersonal skills & telephone manner.
- Being able to work in an efficient and accurate manner, prioritising your workload to ensure that all deadlines are met.
- Strong IT skills including full range of Microsoft applications (Office, Word, Excel).
- Knowledge of CAFM and Finance systems is desirable (Coupa, Maximo).
- Good written and oral communications.
- This role includes a DBS Enhanced check therefore ability to pass is essential.
