We are seeking a highly organised and customer-focused Contract Support Administrator to join our Facilities Management team based at the prestigious Wellcome Genome Campus.

This is an exciting opportunity for an experienced administrator with a background in Facilities Management or Building Services to play a key role in supporting the delivery of high-quality hard FM services across a world-renowned scientific research campus.

Working closely with operational teams, the client, suppliers and engineers, you'll be responsible for ensuring the smooth administration of the contract while helping to maintain exceptional service standards.

Key Responsibilities

  • Provide comprehensive administrative support to the Facilities Management contract team.
  • Raise, monitor and close work orders to enable financial processing.
  • Raise Purchase Orders and Process supplier invoices.
  • Raise Invoices to the client for completed works.
  • Follow up on outstanding client invoices.
  • Support with WIP management, to ensure that there is no aged WIP on the contract.
  • Carry out financial housekeeping actions to ensure that our systems are up to date and accurate.
  • Support financial processes, including budget tracking and cost control administration.
  • Support monthly reporting, data analysis and KPI tracking.
  • Liaise with clients, suppliers and internal stakeholders to ensure efficient service delivery.
  • Ensure all documentation is maintained in line with company and client requirements.

About You

We're looking for someone who thrives in a fast-paced FM environment and enjoys building strong working relationships.

Essential Requirements

  • Previous experience in a Contract Support, FM Administrator or similar Facilities Management administration role.
  • Experience working within a Facilities Management, Building Services or Maintenance environment.
  • Strong administrative and organisational skills.
  • Experience using CAFM systems and Microsoft Office applications.
  • Excellent communication and customer service skills.
  • Ability to manage multiple priorities whilst maintaining attention to detail.
  • Confident working with financial and reporting processes.

Desirable

  • Experience supporting hard FM or technical maintenance contracts.
  • Knowledge of compliance and statutory maintenance administration.
  • Experience working within a client-facing environment.
