Job Purpose
We are seeking a highly motivated and dynamic individual preferably from an M&E service provider or customer services background, with an understanding of reactive, planned maintenance and have a good understanding of service delivery. The main feature of this role will be to provide exceptional customer service and business support with the purpose to contribute to the continued growth and success of the Account. Understanding, anticipating, and delivering to customer needs, achieving results within quality and time constraints.
Key Tasks
- Contract Support / Maintenance Planner
- Paperwork Management – Liaise with sub-contractors and wider FM team to ensure all paperwork is received and verified to support internal record keeping.
- Providing additional support to the FM team with raising Purchase Orders, liaising with contractors and suppliers in a professional and timely manner.
- Contractor Management – Managing and owning the subcontractor 52-week maintenance plan while booking in sub-contractor services; chasing service reports and associated documentation to manage the full process from inception to completion.
- Contract Management – Working with the FM Team, ensuring all documentation is kept up to date on the E-Logbook system.
- To be responsible and own the work order management process including Reactive / PPMs for the site FM Team and sub-contractors to ensure works are undertaken in a timely manner in-line with contract SLA’s and KPI’s as well as effective remedial work management.
- To maintain continuous working relationship and communication with the M&E team.
- To ensure statutory compliance amongst the Maintenance team functions.
- Effective communication with all levels of internal teams and external customers.
- Be the champion and responsible person for the financial delivery of the FM Team functions through the dedicated CBRE systems.
- Complete monthly billing including SOX checklists and contractual financial reporting as required by the finance and FM teams.
- Ensuring FM Team are receipting goods received and works completed in a timely manner.
- Undertake any other duties as requested by the Facilities Manager, Assistant Facilities Manager and Finance Manager.
