Role Overview
We're looking for a Building Safety Contracts Administrator to help keep our planned maintenance and servicing programme on track across the portfolio.
You'll support the Contracts Manager with the day-to-day coordination of contractor visits, service records and certification, covering fire safety, building safety and M&E assets such as fire alarms, mansafe systems and water pumps.
This role suits someone highly organised and confident with spreadsheets and systems, who is keen to build their knowledge of property management, building safety or contractor management.
ROLE EXPECTATIONS
This is a detail-focused, coordination heavy role that requires strong organisation, accuracy and confidence chasing contractors and colleagues for information.
You'll need to manage multiple workstreams at once, spotting missing or inconsistent information and escalating issues before they become problems.
You will be expected to keep records, trackers and systems up to date, supporting the wider Building Safety Team rather than working in isolation.
What Success Looks Like
You'll be successful in this role if:
- Contractor visits, service records and certification are accurate and up to date
- Overdue visits, access issues and missing certification are resolved quickly
- Property Managers and colleagues get clear, timely answers to their queries
- PPM, contract and servicing trackers are well maintained and reliable
How You'll Spend Most Of Your Time
Most weeks, you'll be:
- Liaising with contractors to resolve overdue visits, access issues and missing certification
- Carrying out initial checks of service certificates and contractor reports for accuracy
- Supporting the Contracts Manager with the administration of new contracts and service agreements
- Maintaining PPM, contract, servicing and certification trackers and systems
- Dealing with queries from Property Managers on service visits, certification and remedial recommendations
- Helping to raise, request and track quotes for remedial works

You'll work closely with the Contracts Manager, Building Safety Team, Property Managers, Budgets Team, New Business Team and externally appointed contractors, with regular attendance at Head Office.
Who This Role Is For
This role suits someone who:
- Is highly organised and able to manage multiple workstreams at once
- Has good attention to detail and accuracy
- Is proactive and comfortable chasing contractors and internal parties
- Is confident using spreadsheets, trackers and systems
- Communicates clearly, both written and verbal
- Has an interest in building safety, fire safety or contractor management
Experience That Helps
- Previous experience in Property Management
- Experience in planned maintenance, asset management, facilities, social housing or contractor management
- Experience working with third-party contractors or external service providers
- Working knowledge of Dwellant or a similar property management/repairs system
- Basic knowledge of building safety, fire safety or fixed asset servicing requirements
- Experience requesting, tracking or collating quotes
- Experience supporting contract or tender administration, or contractor performance monitoring
