Contracts Manager - Facilities Management

Summary

We are looking for an experienced and motivated Contracts Manager to oversee a portfolio of facilities management contracts across Scotland. While the majority of our current portfolio is focused on commercial cleaning, the role will support the effective delivery and continued development of our wider facilities management services.

You'll be responsible for ensuring our clients receive a consistently high standard of service by managing contract performance, supporting supervisors and operational teams, carrying out regular site visits and building strong relationships with customers. Working closely with our Operations Manager, you'll play a key role in maintaining service quality, controlling costs, supporting staff and contributing to business development by growing existing contracts and identifying new facilities management opportunities.

What You'll Be Doing:

  • Managing a portfolio of facilities management contracts, with a current focus on commercial cleaning services.
  • Taking ownership of contract performance, service standards, KPIs and agreed client requirements.
  • Building strong client relationships through regular communication, review meetings and prompt resolution of service issues.
  • Supporting, developing and managing Supervisors and Cleaning Operatives.
  • Carrying out regular quality audits, site inspections and performance reviews.
  • Monitoring contract budgets, labour costs, materials and profitability, and taking action where performance falls outside agreed targets.
  • Recruiting, inducting and training new staff in conjunction with the Operations and HR teams.
  • Managing rotas, holiday cover, staffing levels, attendance and employee performance.
  • Working with the Operations Team to plan and mobilise new contracts effectively.
  • Ensuring risk assessments, COSHH records, training records and other contract documentation remain accurate and up to date.
  • Monitoring stock, equipment and consumables to ensure services are delivered efficiently.
  • Investigating complaints, service failures and audit findings, implementing corrective actions and monitoring completion.
  • Preparing clear contract performance updates and reports for clients and senior management.
  • Promoting safe working practices and ensuring compliance with company procedures and client requirements.
  • Identifying opportunities to improve service delivery, retain contracts and introduce additional facilities management services to existing clients.
  • Supporting business development activity, including prospective client meetings, site surveys, tender submissions and pricing proposals.
  • Working with senior management to mobilise newly awarded contracts and ensure a smooth handover into operations.

Skills needed

  • Previous experience managing facilities management, commercial cleaning or other service-based contracts.
  • Strong leadership and people management skills, with experience supporting operational teams.
  • Commercial awareness, including the ability to monitor labour, materials and contract costs.
  • Excellent communication, client relationship and customer service skills.
  • Ability to organise workloads and prioritise the needs of multiple contracts.
  • Sound knowledge of Health & Safety requirements, including risk assessments and COSHH.
  • Experience carrying out quality audits, site inspections and performance reviews.
  • Confident using Microsoft Office and digital job management systems.
  • Full UK driving licence.
  • Right to work in the UK.
  • Ability to pass vetting where required for secure client sites.

Working pattern and days

This is a full-time position based at our Ayr office, with the majority of hours worked during normal Monday-to-Friday business hours. The role includes regular site visits across Scotland to meet clients, support teams and review service delivery. Company vans are available for business travel. Occasional flexibility outside normal working hours may be required for contract mobilisations or operational issues.
