Job Title: Controller (Accounts)

Department: Machinery Team

Reports To: Section Manager (Machinery Team)

Role Purpose

The Controller (Accounts) plays a key role in supporting the commercial, operational, financial, and administrative activities of the Machinery Team. The position is responsible for coordinating MRO (Maintenance, Repair and Operations) business activities, supporting logistics and project operations, maintaining financial controls, and delivering high-quality customer and stakeholder support.

The role requires a proactive, customer-focused individual who demonstrates ownership, continuously seeks opportunities for improvement, and contributes to the growth and success of the business through collaboration, analytical thinking, and effective stakeholder management.

Key Responsibilities

Commercial & Operational Support

  • Prepare customer quotations and cost estimates.
  • Coordinate domestic and international logistics and shipment activities.
  • Liaise with customers, suppliers, logistics providers, and other business partners.
  • Support MRO operations, spot projects, and machinery-related business activities.
  • Attend customer and supplier sites as required.
  • Support project activities for installation and logistics projects.
  • Assist with customer account management and business development activities.

Financial Administration & Reporting

  • Record and maintain accurate financial information and transaction records.
  • Process customer invoices and supplier payments.
  • Manage Accounts Receivable (AR) and Accounts Payable (AP) activities.
  • Create and maintain customer and supplier accounts in Microsoft Business Central.
  • Support monthly sales closing activities and forecast versus actual reporting.
  • Prepare regular reports, presentations, and management information.

Compliance & Governance

  • Support export control compliance and verification activities.
  • Assist with supplier due diligence, and Delegation of Authority (DOA) processes.
  • Support VAT scheme validation and local regulatory requirements.
  • Assist with contract pre-review and Non-Disclosure Agreement (NDA) administration.
  • Ensure accurate records are maintained in accordance with company procedures and controls.

Business Improvement & Development

  • Support business analysis, proposal preparation, and customer presentations.
  • Identify opportunities to improve processes, efficiency, and service delivery.
  • Contribute ideas that support business growth, cost reduction, and operational excellence.
  • Build and maintain departmental knowledge and best-practice documentation.

Administrative Support

  • Coordinate meetings, prepare agendas, and record meeting minutes.
  • Manage visitor arrangements and general office administration.
  • Support procurement of office and operational consumables.
  • Provide ad-hoc administrative and analytical support to management.

Knowledge, Skills & Experience

Essential

  • Full UK Driving Licence.
  • Experience in administration, finance, logistics, procurement, purchasing, or commercial support.
  • Strong Microsoft Office skills, including Excel, PowerPoint, and Outlook.
  • Excellent organisational, communication, and stakeholder management skills.
  • Strong attention to detail and numerical accuracy.
  • Ability to manage multiple priorities and meet deadlines.

Desirable

  • Experience using Microsoft Business Central or similar ERP systems.
  • Experience within logistics, machinery, engineering, import/export, or trading environments.
  • Knowledge of Accounts Payable and Accounts Receivable processes.
  • Understanding of export controls, customs requirements, or business compliance activities.
