Waterstone Legal is expanding, and we are looking for experienced and motivated legal professionals to join our growing team.

We are currently recruiting for:

  • Legal Secretary

Key Responsibilities Include

  • Providing comprehensive secretarial and administrative support to conveyancing solicitors and fee earners
  • Opening, maintaining, closing and archiving client files in accordance with the firm’s procedures
  • Preparing and formatting routine correspondence, contract packs, forms and other legal documents under supervision
  • Managing diaries, appointments, key dates and transaction deadlines
  • Handling telephone calls, emails and post professionally and promptly
  • Liaising with clients, solicitors, estate agents, lenders, search providers and other third parties
  • Requesting searches, title documents and other information required for property transactions
  • Assisting with the administrative requirements for sales, purchases, remortgages and transfers of equity
  • Supporting fee earners with exchange and completion arrangements
  • Managing post-completion requirements, including submitting Stamp Duty Land Tax returns and Land Registry applications within the required timescales
  • Monitoring registration applications and assisting with Land Registry requisitions under the supervision of the relevant fee earner
  • Serving notices of transfer and charge on freeholders, managing agents and management companies where required
  • Providing clients and lenders with updated title documentation following registration
  • Ensuring all post-completion matters are finalised before files are closed and archived
  • Accurately updating the firm’s case management system and maintaining well-organised electronic and physical files
  • Assisting with client onboarding, identification checks and anti-money laundering procedures
  • Preparing completion statements, invoices and other financial documentation as directed
  • Ensuring confidentiality and compliance with regulatory requirements, internal policies and data-protection procedures
  • Delivering a consistently professional and responsive standard of client care

The Ideal Candidate Will Have:

  • Previous experience as a legal secretary or legal administrator, preferably within a conveyancing or property department
  • A good understanding of conveyancing processes, terminology and documentation, including post-completion procedures
  • Experience with Stamp Duty Land Tax submissions and Land Registry applications would be advantageous
  • Excellent organisational skills and the ability to manage competing priorities and deadlines
  • Strong attention to detail and a high level of accuracy
  • Clear and professional written and verbal communication skills
  • A confident and courteous telephone manner
  • Strong typing, document-production and proofreading skills
  • Proficiency in Microsoft Office and experience using legal case management systems
  • The ability to work effectively both independently and as part of a team
  • A professional, discreet and client-focused approach
  • A legal secretarial qualification would be advantageous but is not essential
