About the Role
This is a fantastic opportunity for a Coordinator to join our thriving residential Lettings team based in Barnes. As Lettings Coordinator, you will be responsible for providing highly efficient administrative support to the team, undertaking a wide variety of tasks including invoicing, marketing administration, call handling, document preparation, and maintaining accurate file systems.
The successful candidate will join a friendly and collaborative team comprising a Partner, Negotiator, Property Manager, and Assistants. This role offers an excellent opportunity for an experienced administrator to utilise and further develop their skills within the property sector while contributing to the team’s continued success.

Main Tasks
- Answering the phone and directing calls as required
- Dealing directly with clients/applicants looking to let or rent and answer any enquiries
- Typing and organising reports where appropriate
- Organising the marketing of the properties including arranging photographs and floor plans and EPCs, creating brochures, window cards, and organising advertising
- Arranging canvassing
- Collating statistics
- Progressing tenancy paperwork
- Carrying out the occasional viewing for lettings when required
- Organising contractors to attend to maintenance issues and informing landlords of costs or quotes where applicable
- Any other reasonable duties that may be required from time to time
- A large proportion of the day will be supporting property management with general tasks
- Sending out utility letters and dealing with check in/check outs
- Organising service charges for block management
- Adding invoices to Reapit

What Will It Take to Be Successful?
We are seeking a candidate with proven administrative or office coordination experience within a residential lettings environment. You will have excellent customer service skills, strong written and verbal communication, and the ability to manage your time effectively.
You will be a proactive and collaborative team player, able to work under pressure and meet deadlines. Strong IT skills are essential, including proficiency in Microsoft Word, Excel, PowerPoint, and Outlook, along with confidence working with databases and relevant property software.
