Position Overview

The Warehouse Supervisor is responsible for overseeing daily warehouse operations, ensuring the accurate, safe, and efficient receipt, storage, picking, packing, inventory control, and dispatch of goods. This role supervises warehouse staff, coordinates with Logistics, Procurement, Inventory, Sales, and other departments, and ensures warehouse activities meet operational, quality, safety, and service requirements. The position also supports inventory accuracy, warehouse organisation, productivity, cost control, and continuous improvement.

Key Responsibilities

• Supervise daily warehouse activities, including receiving, unloading, inspection, put-away, storage, picking, packing, loading, dispatch, and returns.
• Assign daily tasks, organise manpower, prepare shift schedules, monitor attendance, and ensure adequate staffing for operational requirements.
• Lead, train, coach, and monitor warehouse staff to ensure productivity, accuracy, safety, and compliance with company procedures.
• Coordinate incoming deliveries and verify quantities, product specifications, packaging condition, documentation, and purchase orders before acceptance.
• Ensure goods are properly labelled, stored, located, and handled according to product requirements and warehouse procedures.
• Monitor picking and packing activities to ensure orders are accurate, complete, properly packaged, and dispatched on schedule.
• Coordinate with Logistics and transport teams regarding delivery schedules, loading priorities, shipment documentation, and dispatch requirements.
• Maintain accurate inventory records and conduct cycle counts, stock takes, physical verification, and reconciliation of inventory discrepancies.
• Investigate shortages, overages, damaged goods, missing stock, incorrect locations, and other inventory discrepancies, and implement corrective actions.
• Operate and maintain warehouse management systems (WMS), ERP systems, barcode scanners, inventory systems, and other warehouse technology.
• Ensure proper use of FIFO/FEFO procedures where applicable, particularly for food, pharmaceutical, chemical, or other time-sensitive products.
• Monitor stock levels, storage capacity, product movement, slow-moving inventory, damaged goods, and obsolete stock, and report issues to management.
• Maintain an organised warehouse layout that supports efficient movement, accessibility, picking accuracy, space utilisation, and workplace safety.
• Ensure all warehouse equipment, including forklifts, pallet jacks, shelving, loading equipment, scanners, and handling tools, is used safely and maintained properly.
• Enforce warehouse safety procedures, PPE requirements, housekeeping standards, fire safety, emergency procedures, and company health and safety policies.
• Conduct regular warehouse inspections and identify potential operational, safety, security, or compliance risks.
• Monitor warehouse security and ensure appropriate controls are followed for high-value, sensitive, restricted, or confidential goods.
• Coordinate with Procurement, Inventory, Finance, Sales, Customer Service, and Operations to resolve stock, order, delivery, and documentation issues.
• Work with suppliers, transport providers, couriers, and third-party logistics providers to resolve receiving and dispatch-related issues.
• Monitor warehouse KPIs such as inventory accuracy, order accuracy, picking productivity, receiving turnaround time, on-time dispatch, warehouse utilisation, damages, shrinkage, and operating costs.
• Prepare daily, weekly, and monthly reports covering inventory movements, warehouse performance, stock discrepancies, manpower, damages, and operational issues.
• Monitor warehouse operating costs, overtime, consumables, packaging materials, equipment usage, and other operational expenses.
• Support warehouse audits, inventory audits, quality inspections, and internal control activities.
• Ensure all warehouse documentation, including receiving records, delivery notes, picking lists, transfer documents, stock adjustment records, and dispatch records, is completed accurately.
• Investigate operational problems, identify root causes, and implement practical improvements to increase efficiency and reduce errors, delays, damage, and unnecessary costs.
• Support warehouse projects such as layout changes, system implementation, stock migration, process improvement, automation, and new facility setup.
• Ensure proper handling and segregation of returned, damaged, quarantined, rejected, or non-conforming products.
• Maintain professional communication with internal departments, customers, suppliers, drivers, and warehouse service providers.
• Ensure confidentiality and appropriate handling of company, inventory, customer, supplier, and operational information.
• Support emergency response, business continuity, and contingency procedures during equipment failures, shipment delays, manpower shortages, or other operational disruptions.
• Promote a disciplined, productive, safety-focused, and teamwork-oriented warehouse environment.
