Role Purpose
Provide high-quality administrative support to the Corporate Governance team, ensuring Board and Committee arrangements, statutory and corporate records, governance systems, and related business processes are coordinated accurately, efficiently, and to agreed deadlines.
Key Responsibilities
Board and Committee Support
- Coordinate Board and Committee meeting dates, room and virtual meeting arrangements, logistics, and catering.
- Manage the governance calendars and maintain accurate forward schedules of meetings and key governance events.
- Prepare and upload meeting packs for Board and committee meetings, ensuring documents are complete, correctly presented, and available within agreed timescales.
- Administer a Board portal, including user access, reading rooms, and the quarterly downloading and distribution of reports for internal stakeholders.
- Support new directors and other governance-system users with access, information, and practical onboarding arrangements.

Statutory Records and Corporate Administration
- Maintain statutory registers and support Companies House filings, with appropriate oversight from the responsible governance lead.
- Coordinate accounts signing and annual filing requirements, including the collation of approvals and supporting documents.
- Maintain corporate information, including structure charts, the registered office address list, and lists of authorised signatories.
- Coordinate director signing through DocuSign and maintain orderly records of completed documents.
- Produce directors’ remuneration certificates and support the administration and payment of directors’ fees.
Director Information and Annual Governance Processes
- Coordinate annual director policy declarations, related party transaction forms, and confirmations of directors’ outside interests, following up outstanding responses and maintaining complete records.
- Handle KYC requests and maintain an accurate, accessible database of standard corporate and director information.
- Provide governance documents and information in response to AAF, external audit, internal audit, and other authorised requests, including requests for minutes and governance records.
Team Operations and Business Support
- Manage the team inbox, ensuring correspondence is logged, allocated, and progressed appropriately.
- Raise purchase order requests, process invoices and payments, and maintain records.
- Maintain the team intranet page, keeping content current and coordinating updates with relevant colleagues.
- Provide responsive support to the team and the wider business on ad hoc governance and administrative requests.
- Maintain clear and organised records in accordance with team procedures and applicable confidentiality, information management, and data protection requirements.
- Undertake other reasonable duties and project work consistent with the scope and level of the role.

Key Working Relationships
- Head of Corporate Governance and members of the Corporate Governance team.
- Board and Committee members, including Non-Executive Directors.
- Executive colleagues, paper authors, and teams across the business.
- External auditors, advisers, suppliers, Companies House, and other authorised external contacts.
Requirements for the Role
- Experience in a senior administrative, executive support, governance, or company secretarial environment.
- Experience of coordinating senior meetings, meeting documentation, calendars, and multiple deadlines.
- Experience of maintaining accurate records and handling confidential or commercially sensitive information.
- Experience of using Board portals, document-management systems, electronic signature platforms, or similar systems.
- Excellent organisation and prioritisation skills, with the ability to anticipate requirements and manage competing demands.
- Consistently high standards of accuracy, attention to detail, and follow-through.
- Clear and professional written and verbal communication, with confidence in dealing with senior internal and external stakeholders.
- A proactive, responsive, and collaborative approach, with sound judgement and appropriate discretion.
- Strong digital capability, including Microsoft 365 applications and web-based portals.
- A commitment to customer service, continuous improvement, inclusion, and equality of opportunity.
- Experience of statutory records, Companies House filings, know your client, audit requests, or corporate administration is desirable.
- Stakeholder engagement (at all levels of the organisation).
- Business administration or executive support qualification is desirable; equivalent practical experience will also be considered.
- Good conduct that is consistent with the LPPI values - aligned behaviours.
