Team - Company Secretary

Working Pattern

Hybrid - 2 days per week in the Vitality London Office. Full time, 37.5 hours per week.

What this role is all about

We are looking for a highly organised and detail-focused Company Secretarial Coordinator to join the Corporate Governance team. Supporting the Director of Corporate Governance and wider Company Secretariat function, this role plays an important part in ensuring the smooth running of board and committee activities across a diverse international group structure. The position offers exposure to senior stakeholders, governance processes, and key business activities, making it an excellent opportunity for someone looking to develop a long-term career within corporate governance and company secretarial services.

Key Actions

  • Keep our boards and committees running seamlessly, coordinating governance activity across a portfolio of international Group entities and making sure everything is in place for effective decision-making.
  • Bring people and meetings together, managing schedules, logistics, attendance and stakeholder communications so key governance activity is organised and delivered smoothly.
  • Own the board paper process from start to finish, working with colleagues across the business to bring together, review and distribute high-quality papers on time.
  • Keep our governance records clear, accurate and audit-ready, capturing decisions, actions, resolutions and key documentation across boards and committees.
  • Take ownership of company records and statutory information, maintaining accurate governance data across our systems and ensuring regulatory and internal requirements are met.
  • Be a trusted point of contact for governance information, coordinating due diligence, KYC requests and enquiries from stakeholders across the Group.
  • Turn governance information into useful insight, producing reports, management information and documentation that support decision-making and our wider regulatory responsibilities.
  • Help us keep getting better, contributing ideas to governance projects and finding smarter ways to strengthen processes, controls and how the Company Secretariat team operates.
  • Embrace technology to make governance simpler and smarter, supporting the use of automation, AI and governance platforms to improve efficiency, data quality and record management.
  • Play an active part in the wider success of the team, coordinating meetings, training and events while building strong relationships across the business.

What do you need to thrive?

  • Previous experience providing administrative, coordination or governance support within a professional environment
  • Excellent organisational skills with the ability to manage multiple priorities and deadlines simultaneously
  • Ability to build effective working relationships with stakeholders at all levels, including senior executives and directors
  • Strong judgement with the ability to handle confidential and sensitive information appropriately
  • Proficiency in Microsoft Office applications including Outlook, Word, Excel, PowerPoint and Teams
  • Ability to work effectively both independently and as part of a collaborative team
  • Experience supporting board administration, company secretarial activities or governance functions
  • Knowledge of corporate governance practices, regulated environments or governance platforms
