Corporate Receptionist Opportunity

We have a great opportunity for an experienced Corporate Receptionist to join the Rapport family, based at our client's amazing location with beautiful views over Canary Wharf. You will join a diverse team across two locations within walking distance, giving you an amazing opportunity to learn and develop.

The Client is an American multinational investment management and financial services company, and you will play a crucial role in providing the highest level of service and care to the client, its customers, guests, and service partners in line with service level agreements and set policies and procedures.

This is a permanent, full-time role (40 hours per week), working from Monday to Friday on a shift rota basis from 7:30 AM to 7:30 PM as per the client’s needs.

Employment will be subject to a successful vetting outcome which includes a requirement of proof of a UK address for the last 6 years.

Main Responsibilities

  • Provide seamless guest management on behalf of clients, including proactively welcoming employees and guests, hosting, and escorting visitors where required.
  • Take ownership of reception areas, maintaining a professional and welcoming environment while completing administration duties as required.
  • Welcome guests arriving on client floors at lift lobbies or reception areas and escort them to their meeting rooms.
  • Conduct regular meeting room checks, maintaining high standards of cleanliness, presentation, and brand compliance, including ensuring the correct branded items are in place.
  • Work collaboratively with service providers, contractors, and the wider Corporate Services team to deliver a seamless workplace experience.
  • Support cross-departmental shifts within Central Reservations as required.
  • Manage meeting room bookings across UK sites using the booking platform, ensuring information is accurate and up to date.
  • Handle inbound and outbound calls and emails relating to meeting room reservations, guest registration, and catering requirements, responding to requests accurately and efficiently.
  • Assess client requirements and booking details to allocate suitable meeting rooms, capturing all special requirements and prioritising requests according to urgency and importance.
  • Liaise closely with the catering team to coordinate catering requirements, ensuring requests are accurately communicated and delivered in line with meeting requirements.
  • Assist with the training and onboarding of new joiners, sharing knowledge of site procedures, systems, and service standards.
  • Adhere to all site procedures, service standards, and operational requirements.
