Accountabilities and Key Activities

  • Deliver an exceptional guest experience, ensuring all visitors receive a professional and welcoming service.
  • Act as the central point of contact for clients, visitors, contractors, and service providers.
  • Manage reception duties, including visitor registration, issuing security passes, and arranging transport requirements.
  • Operate the switchboard, answer calls promptly, and direct enquiries appropriately.
  • Manage shared inboxes and respond to emails professionally and efficiently.
  • Coordinate meeting room, desk, and collaboration space bookings using the relevant booking systems.
  • Arrange taxis, shuttle services, travel tickets, and general travel-related enquiries.
  • Handle guest and customer enquiries, resolving issues where possible or escalating appropriately.
  • Process and maintain records, reports, databases, and electronic filing systems accurately.
  • Manage incoming and outgoing post, couriers, and associated administrative processes.
  • Support audit activities through the collation and preparation of required documentation.
  • Build and maintain positive relationships with clients and stakeholders, understanding individual requirements and expectations.
  • Maintain knowledge of local amenities, transport links, parking, hotels, and restaurants to support customer enquiries.
  • Work collaboratively with colleagues to ensure a seamless and consistent service.
  • Identify opportunities to improve processes, systems, and administrative efficiency.
  • Adhere to all company policies, procedures, security requirements, and grooming standards.
  • Provide flexible support across the wider site team and undertake any other reasonable duties as required.

  • Proven experience delivering high-quality customer service.
  • Previous reception, hospitality, customer service, or administrative experience preferred.
  • Experience working in a professional office or corporate environment is desirable.
  • Knowledge of desk booking systems is advantageous but not essential.
  • Competent in Microsoft Office applications, including Outlook, Word, and Excel.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Experience handling multiple priorities in a busy environment.
