Overall Purpose

As a Corporate Receptionist / Guest Experience Host, you are the face of Green Park and the first impression for occupiers, visitors, clients, and contractors.

You will deliver an exceptional 6-Star customer experience by creating a welcoming, professional, and efficient reception environment while ensuring the highest standards of security, presentation, and operational excellence.

You will take full ownership of the reception area, acting as a brand ambassador for Green Park, St. James, Knight Frank, and Mapletree, building strong relationships with occupiers and colleagues while contributing to a positive workplace experience.

Duties and Responsibilities

The below listed task/responsibilities are not exhaustive:

  • Deliver a warm, professional, and memorable welcome to every visitor, occupier, and client.
  • Stand to greet visitors whenever possible and remain visible and approachable throughout the working day.
  • Create an outstanding first impression by providing a genuine, personalized, and proactive service.
  • Build positive relationships with occupiers and regular visitors, recognizing returning guests where possible.
  • Respond to enquiries confidently, efficiently, and professionally.
  • Resolve customer concerns calmly and professionally, escalating where appropriate.
  • Promote Green Park's 6-Star Service standards in every interaction.
  • Take full ownership of the reception and surrounding areas ensuring they remain immaculate, organized, and always welcoming.
  • Manage visitor arrivals using the Visitor Management System.
  • Verify visitor identity and ensure compliance with site security procedures.
  • Notify hosts promptly of visitor arrivals and monitor waiting guests.
  • Answer incoming telephone calls professionally and transfer calls appropriately.
  • Maintain reception inboxes and respond to emails promptly.
  • Ensure reception supplies, marketing material, and information displays remain fully stocked and up to date. Communicate with Building Manager to order stationery and reception consumables.
  • Handle incoming and outgoing post, courier deliveries, and deliveries in accordance with site procedures.
  • Build excellent working relationships with occupiers across Green Park.
  • Provide information and assistance regarding the estate, facilities, and local amenities.
  • Support occupier engagement initiatives and community events.
  • Assist with event coordination and hospitality support where required.
  • Promote Green Park services and facilities positively.
  • Complete daily administrative tasks accurately and within required timescales.
  • Maintain reception records and visitor logs.
  • Update occupier information, telephone directories, and operational databases.
  • Produce reports as requested by Building Management or the Front of House Manager.
  • Assist with facilities administration and helpdesk requests.
  • Ensure documentation is maintained in accordance with company procedures.
  • Take ownership of reception presentation standards.
  • Liaise proactively with Cleaning, Security, Facilities, and Maintenance teams to resolve issues quickly.
  • Report defects promptly using the Ventify system.
  • Ensure reception areas consistently reflect Green Park's premium workplace environment.
  • Work collaboratively with Reception, Security, Facilities Management, and Building Management teams under the Green Park "One Team" philosophy.
  • Support colleagues across multiple reception locations when required.
  • Assist in the induction and training of new team members.
  • Share knowledge and best practice across the Front of House team.
  • Attend team meetings, training sessions, and briefings.

  • Follow all security, emergency, and evacuation procedures.
  • Maintain awareness of all Health & Safety policies.
  • Report accidents, incidents, hazards, and security concerns immediately.
  • Support emergency response procedures including Fire Marshal or First Aid responsibilities where trained.
  • Ensure all visitors comply with security requirements.

Continuous Improvement

  • Look for opportunities to improve customer experience.
  • Contribute ideas to improve reception services and occupier engagement.
  • Support innovation and continuous improvement initiatives.
  • Maintain knowledge of Green Park operations, occupiers, and services.
  • Undertake any other reasonable duties requested by management.

Experience

  • Previous experience in a Corporate Reception, Concierge, Hotel Reception, or Customer Service environment.
  • Experience delivering premium customer service.
  • Experience using Microsoft Office applications.
  • Experience using Visitor Management Systems.
  • Hospitality or luxury customer service background.
  • Experience within commercial property or workplace environments.
  • First Aid qualification.
  • SIA Licence.
