We are looking for a passionate, energetic and people-focused Receptionist - a true Moment Maker.

You will be the face of the client reception and meeting suite - the connector between teams, our client's clients, and the person who turns everyday interactions into meaningful experiences. You will create moments that matter - moments that our visitors and colleagues can feel and see - making a lasting impact on how people experience our office facilities.

Role Purpose

Creating Exceptional Workplace Experiences

  • You will go beyond service delivery to create meaningful, memorable experiences that define the workplace.
  • Delivering a warm, engaging and professional welcome to colleagues, clients and visitors.
  • Building trusted relationships and becoming a go-to person in the workplace.

  • Supporting executive visits, client events and VIP experiences with confidence and professionalism.
  • Acting as a visible and approachable presence throughout the workplace.

Owning the Workplace Environment

  • Taking ownership of designated client and reception areas and ensuring they are always fit for business.
  • Conducting regular workplace walks to identify opportunities, risks and improvements.
  • Ensuring meeting rooms, collaboration spaces, hospitality areas and communal environments are consistently maintained to exceptional standards.
  • Supporting workplace events, activations and community initiatives.
  • Coordinating with journey partners to ensure every aspect of the workplace experience is seamless.
  • Auditing your working area, and shared spaces to ensure they are clean, stocked, functional and welcoming.
  • Providing first-line support for internal meeting rooms, including room readiness, basic AV checks and escalation of technical issues where required.

Bringing Teams Together

  • Acting as the bridge between colleagues and facilities teams and collaborating with the wider operations team to create a world class customer journey.
  • Building strong relationships with cleaning, hospitality, maintenance and security teams.
  • Attending daily service briefings and ensuring everyone is aligned on priorities.
  • Championing a true ‘One Team' culture across all service lines.
  • Sharing best practice and helping create an inclusive and supportive workplace community.
  • You make exceptional service feel effortless.

Driving Service Excellence

  • Taking ownership of reception and client suite issues from identification through to resolution.
  • Ensuring service requests are managed efficiently and within agreed service levels.
  • Proactively communicating office updates and managing expectations.
  • Monitoring service standards and challenging where improvements are needed.
  • Using feedback and insights to continuously improve the workplace experience.
  • Providing a hotel standard guest experience including a world class welcome, cloakroom management, barista style lounge service and a door to floor hosting journey.

Essential

  • Experience within workplace experience, hospitality, guest services or facilities environments.
  • Strong customer service and relationship-building skills.
  • Excellent communication and influencing ability.
  • Strong organisational and prioritisation skills.
  • Experience working in fast-paced environments.
  • Confidence working with senior stakeholders.
  • Strong attention to detail.
  • Good understanding of workplace operations and service delivery.
  • Proficient with M365 applications

Desirable

  • Basic AV or meeting room support experience.
  • Health & Safety awareness
