Corporate Receptionist (Evening Shift)
Based: On client site Rolls-Royce, Derby D24
Hours: 15 hours per week (Monday to Friday 4:00 PM - 7:00 PM)
Role Purpose
We are seeking a highly self-motivated and passionate Corporate Receptionist to manage our evening operations at our Derby site. You will serve as the primary point of contact for visitors and employees during the transition from business hours to evening operations, ensuring exceptional customer service while maintaining building security and preparing facilities for the next business day.
In this role, you will take ownership of the front-of-house experience during evening hours, manage building closedown procedures, and support the facilities management team in providing a great workplace experience. Your ability to work independently, proactively resolve queries, and maintain the highest standards of presentation and service will be the cornerstone of your success.
What this job involves:
Reception & Customer Service
- Provide exceptional levels of customer service, ensuring guests receive an excellent welcome
- Act as meet and greet for late visitors, clients, and employees
- Record all visitors and issue security passes to external guests and contractors
- Answer and direct incoming calls professionally and efficiently
- Handle enquiries, requests, and concerns in a timely and effective manner
- Process incoming and outgoing mail and courier items
- Maintain a neat and organized reception area with immaculate presentation standards
Evening Building Coordination
- Manage anyone working in the building outside of core business hours to ensure their safety and wellbeing
- Conduct comprehensive security sweeps of the building before security personnel arrive for lock-up
- Make decisions and communicate effectively with staff working outside of core business hours
- Manage any issues that arise outside of core business hours, escalating to the relevant person dependent on the issue
- Support Emergency Evacuation procedures and take the lead in managing evacuations if required
Meeting Room Management & Preparation
- Check all meeting rooms at end of day and prepare for the following day's bookings
- Ensure all meeting, conferencing, and event spaces are set to a defined standard including dividing rooms and reconfiguring furniture
- Prepare client meeting packs and materials
- Complete departmental checklists ensuring quality of service and standards pertaining to the presentation and maintenance of meeting rooms and public areas
- Ensure meeting rooms are stocked with necessary supplies (stationery, water, refreshments)
- Process meeting room requests for the following day

Facilities & Maintenance Support
- Efficiently report any maintenance, IT, or Health and Safety concerns
- Raise work requests through the system for maintenance and cleaning issues
- Check all AV/IT equipment and raise any issues for resolution
- Manage site stationery supplies as needed
- Keep records of any issues, feedback, and service requests for the management team
Administrative Support
- Carry out basic administration tasks to support the business
- Manage visitor car parking bookings where required
- Update meeting room booking systems
- Maintain accurate logs and records
Person Specification
- Previous Front of House or Reception experience, ideally gained within a corporate or 5-star hotel environment
- Passionate about exceptional customer service
- Excellent communication and interpersonal skills with the ability to effectively communicate with diverse stakeholders
- Strong attention to detail and organizational abilities with exceptional multi-tasking skills
- Ability to work independently with minimal direction and make confident decisions
- Able to interact with all levels of personnel, including senior executives
- Professional appearance and demeanour with immaculate personal presentation
- Reliable and punctual with a flexible and proactive approach
- Comfortable conducting building security checks and managing emergency situations
- Able to move heavy/bulky items safely
- Computer literate (Word, Excel, Outlook)
- Clear understanding of Health & Safety practices
Desirable Skills
- Experience in tenant relations, property management, or customer service
- Previous experience with visitor management and booking systems
- Understanding of Audio Visual and IT systems with ability to explain this accurately to customers
- Working knowledge of Microsoft Office software
- A keen interest in AVIT and electrical appliances
- Basic facilities coordination experience
