Job Description
Where you’ll fit in & what our team goals are…
In your role you will support the day-to-day running of Corporate Services function across EMEA/APAC regional offices. You will provide administrative, facilities, real estate, Health, Safety & Environment, travel and operational support to the Corporate Services leadership team, while assisting with ad-hoc departmental activities.
How you'll spend your time...
- Process invoices, PO’s, Procurement Work Requests and expenses for EMEA/APAC real estate and facilities operations
- Monitor office and maintenance spend from our approved vendor list, and support onboarding of new vendors
- Support administration of Lease renewals and financial processing for EMEA/APAC offices
- Coordinate the purchase of branded supplies and administration of the business flower account
- Monitor Environmental compliance, providing support for environmental audits.
- Maintain UK office notice boards, ensuring information is current on the company Fire Marshals and First Aiders, including booking relevant training.
- Support desk assessments (DSE) process for offices, ensuring appropriate equipment is purchased.
- Maintain and audit SharePoint data storage ensuring accurate records for the offices are kept up to date for contracts, leases, parking, lockers, seating plans etc.
- Maintain Corporate Services and HSE intranet pages, and manage reactive communications with PA group.
- Act as point of contact for escalations for the travel management booking tool, for EMEA/APAC employees. Working with the global travel manager and TEV team for escalation and resolution
- Act as point of contact for internal Helpdesk escalations for EMEA/APAC facilities needs - fault reporting i.e. air conditioning, / access control/ water filter system etc.
- Support troubleshooting, testing and issue resolution for the Corporate Services Helpdesk application.
- Manage the Williams Lea offsite print process from start to end, ensuring SLAs are met, with no data breaches.
- Maintain the Corporate Services disaster recovery plans
- Provide administration support for the EMEA/APAC offices local contacts, when appropriate.
- Screening and distribution of external switchboard calls to various departments and call centres.
- Process and handle queries from all areas of the business and external contractors, dealing with queries and taking messages where required.
- Remotely assist the Edinburgh office with business-as-usual operational tasks as required.

To be successful in this role you will have...
- Strong organisational skills with the ability to manage multiple tasks and deadlines.
- Proficient in Microsoft office application incl. Outlook, Word, PowerPoint, Excel
- Ability to handle confidential or sensitive information appropriately.
- High level of accuracy when inputting data, with the ability to prioritise workloads effectively.
- Able to grasp new concepts quickly
- Strong oral and written communication skills
- Ability to build and maintain good working relationships across multiple teams, bands and jurisdictions
- Ability to make decisions, exercise judgement and use initiative while following procedures and policies.

- Facilities and workplace operations knowledge
- Experience working in a corporate financial institution.
- Experience using procurement, finance, helpdesk or ticketing systems.
- H&S and Environmental experience including risk assessments and fire safety.

Our employees work in the office at least four (4) days per week, with flexibility to work from home one (1) day per week.
