The Role

To provide high-quality administrative, coordination and business support to the Corporate Support Lead, supporting the effective operation of the Chair's office and helping to facilitate engagement, communication and collaboration between the Chair, Executive Leadership Team, Board members, Welsh Government and key stakeholders in support of Transport for Wales' strategic priorities.

Role Responsibilities

  • Provide administrative, coordination and business support for the Chair to the Corporate Support Lead and Chief of Staff to support the effective operation of the Chair's office and the delivery of Transport for Wales' strategic priorities.
  • Support the planning and organisation of the Chair's meetings, stakeholder engagements and related activities by assisting with diary management, identifying availability, arranging logistics and coordinating meeting requirements.
  • Provide administrative and coordination support to corporate initiatives and projects by maintaining records, coordinating inputs and supporting the delivery of agreed activities and outcomes in line with the Chair's objectives.
  • Maintain action trackers and provide administrative support for the monitoring of actions arising from meetings, projects and corporate initiatives, escalating issues as appropriate, and identifying opportunities to improve administrative efficiency.
  • Support stakeholder engagement activity involving the Chair by assisting with the coordination of meetings, briefings, visits and follow-up actions with Welsh Government, industry partners and other key stakeholders.
  • Support the delivery of corporate events, visits and engagement activities as required, working collaboratively with colleagues across Government Relations and Public Affairs and the wider organisation.
  • Manage the Chair's mailbox by monitoring correspondence, prioritising enquiries, coordinating responses and ensuring actions are progressed or escalated appropriately.
  • Assist in the preparation of briefing materials, correspondence, meeting papers and supporting documentation by liaising with colleagues across the organisation to gather, collate and quality-assure information.
  • Draft and coordinate correspondence, briefing notes, presentations and other written communications on behalf of the Chair, CEO, Corporate Support Lead and Chief of Staff, ensuring outputs are professional, accurate and issued within agreed timescales.
  • Develop and maintain effective filing, record management and document control systems to ensure information is organised, accessible and managed in accordance with organisational policies and requirements.
  • Build and maintain positive working relationships with the Chair and CEO and wider colleagues across Transport for Wales and external stakeholders to support effective communication, collaboration and stakeholder engagement activities
  • Handle confidential, politically sensitive and commercially sensitive information with discretion and professionalism, exercising sound judgement and working in accordance with organisational policies, procedures and standards.

Who We're Looking For

  • Experience of organising and prioritising competing workloads, managing multiple tasks simultaneously, and consistently delivering high-quality work within agreed timescales.
  • Demonstrable experience of developing and maintaining positive working relationships with a broad range of internal and external stakeholders, including senior leaders, to support the successful achievement of organisational objectives.
  • Demonstrable experience of producing clear, professional written communications and delivering effective verbal communication to a variety of audiences, adapting approach and style to meet different needs.
  • Proven experience of producing accurate, high-quality work with a strong attention to detail and commitment to maintaining professional standards.
  • Experience of using digital tracking, workflow, correspondence management, or information management systems to monitor actions, deadlines, stakeholder engagement, and business activities.
  • Practical experience of working with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint and Teams, to support business operations and administrative processes.
  • Experience of handling confidential, commercially sensitive, and politically sensitive information appropriately, exercising sound judgement and discretion in a professional environment.
