Job Title: Corporation Administrator

Location: Highbury Campus

Salary: £12,362.09 - £12,713.62 Actual Salary, £25,410.97 - £26,133.56 Full Time Equivalent per annum

Hours of work: 18 Hours per week, 52 Weeks per year, Part-Time, Permanent

About the role:

The Corporation Administrator is responsible to the Director of Governance and Chief Financial Officer for providing support. You will be providing coordination, administration, tracking and monitoring of projects. You will also provide administrative support to key managers.

The role will suit an outgoing, enthusiastic, proactive and organised person who can work on their own initiative, prioritise workload and work to tight deadlines. You must have the ability to work accurately and diligently to deadlines and be able to communicate with all levels of College staff and external key College supporters, maintaining a high-level of confidentiality.

Key Responsibilities:

  • Prepare, send, collate and summarise annual documentation for governors and senior staff (i.e. declaration of interest, skills & diversity audit and an annual survey)
  • Assist in all aspects of the board’s meeting cycle e.g drafting agendas, formatting and collating papers and uploading them to SharePoint
  • Maintain the board’s meeting calendar including sending out electronic invitations
  • Support preparation for all Corporation & Committee meetings including taking minutes
  • Support with organisation of annual board development and strategy days
  • Support governors with routine enquiries, expense claims etc
  • Maintain a log of governor visits to College to attend link meetings and observe internal meetings.
  • Assist in drafting the board’s training & development programme, support its delivery and maintain a log of activity undertaken
  • Assist in drafting papers for Committee/Corporation meetings as appropriate
  • Maintain and develop Corporation SharePoint site as appropriate.
  • Efficiently plan and manage diary appointments for the Chief Finance Officer, including making any travel arrangements
  • Act as an all-around gatekeeper to strategically manage the Chief Finance Officer with respect of priorities, goals and objectives
  • Assisting in the preparation of reports and presentations for the Chief Finance Officer
  • Liaise professionally with external agencies promoting the reputation of the College via proactive and high-quality communications
  • Organise, attend and minute departmental meetings, as necessary
  • Raise purchase orders on behalf of the Chief Finance Officer and Director of Governance
  • Provide cover and support to the Executive Assistant Team, as and when required
  • To undertake such additional duties as may be reasonably required
