Creative is a major commercial driver for the business. As the volume and speed of production continue to increase, we need a dedicated operator who can create structure across internal teams, editors, video production and external agencies without slowing the pace of output.

About The Role
The Creative Operations Manager will own the workflow that takes paid-social creative from approved brief through production, quality control, compliance approval and final delivery. This is a traffic-management and production-operations role rather than a creative-strategy position. Your focus will be making sure every asset moves through the right process, reaches the right person and is delivered correctly, on time and ready to launch.
You will sit at the centre of a fast-moving creative ecosystem, coordinating creative strategists, editors, video teams, performance marketers and agency partners. With a high volume of assets moving through the business, you will create visibility, protect quality and remove the operational friction that can slow down production.
What You'll Own
Creative Workflow
- Own the day-to-day creative production pipeline from brief approval through editing, review, compliance sign-off and final delivery.
- Traffic briefs and assets between creative strategists, editors, video teams, performance marketers and external partners.
- Maintain a clear view of every live project, including its owner, status, deadline, dependencies and next action.
- Prioritise work against launch dates, testing plans and commercial importance, resolving bottlenecks before they affect delivery.
- Run regular production check-ins and communicate changes, risks and delays clearly to relevant stakeholders.
- Assign work according to capacity and turnaround time, then chase delivery daily and escalate slippage before a deadline is missed.
- Run a weekly creative operations update covering what is due, what is late, what is blocked and the action required.
- Set clear turnaround expectations by asset type and measure delivery against them.
- Hold all contributors to agreed deadlines and service levels, with visible ownership and escalation.
Creative Quality Control and Compliance
- Complete final quality-control checks across paid-social creative before assets are released for launch.
- Check spelling, subtitles, dimensions, audio, edit quality, product information, links, offer details and adherence to the approved brief.
- Coordinate the compliance-approval process, ensuring claims, disclaimers and product messaging have been reviewed by the appropriate owner before publication.
- Maintain a clear audit trail of feedback, revisions and approvals so the team always knows which version is final.
- Return incomplete or incorrect work with specific, actionable feedback and follow it through to resolution.
- Use a written sign-off checklist covering technical specification, brief adherence, brand standards, claims, disclaimers and legal text.
- Hold work back until every required check and approval has cleared; nothing goes live without final operational sign-off.

Asset Management and Systems
- Own the organisation of creative files, source footage, working files and final assets across the team's systems.
- Set and enforce consistent naming conventions, folder structures, version control and metadata standards.
- Ensure all final creatives are stored in the correct location, easy to retrieve and clearly linked to the relevant concept, campaign or test.
- Become the internal expert on the tools used to manage briefs, production, assets, approvals and reporting.
- Create practical templates, checklists and operating procedures that make the workflow easy to follow at scale.
- Audit naming accuracy across internal and external stakeholders each week, send clear correction requests and track repeat errors by owner.
- Train new editors, strategists and agency team members on naming conventions and asset-management standards during their first week.
- Maintain the creative tracker as the single source of truth for every brief, including owner, status, due date and next action.
Production and Team Coordination
- Coordinate workload and deadlines across editors, video producers and other creative production resources.
- Make sure briefs include the information, source material and references required for production to begin without unnecessary back-and-forth.
- Plan for peaks in output, product launches and high-priority campaigns, adjusting resource allocation as requirements change.
- Support the smooth handover of creator footage and other incoming assets into the editing and production workflow.
- Build strong working relationships across creative, growth, product and compliance teams.
- Brief creators, confirm deliverables and deadlines, and chase the timely delivery of raw content.
- Check creator submissions against the approved brief before they enter editing and return anything incomplete or off-brief.
- Manage the revision loop between creators, strategists and editors so feedback is consolidated and issued within 24 hours.
- Maintain an active creator roster covering rates, deliverables, contract dates and performance notes.
- Allocate briefs across in-house and freelance editors, designers and agencies according to capacity and turnaround requirements.
- Set turnaround expectations by asset type and track actual delivery against them.
- Consolidate feedback so production teams receive one clear revision round rather than fragmented requests.
Agency and External Partner Management
- Act as the operational point of contact for creative agencies, freelance editors, production partners and other external suppliers.
- Translate internal priorities into clear deliverables, deadlines and feedback for agency teams.
- Track agency output, turnaround times, revision levels and delivery quality against agreed expectations.
- Ensure external work follows Nutrition Geeks' naming conventions, quality standards, approval process and asset-storage requirements.
- Escalate delivery or quality issues early and work with internal owners and partners to put them right.
- Hold agencies, strategists, editors and other delivery partners to agreed service levels, report on adherence and address recurring misses directly.
Process Improvement and Reporting
- Identify recurring blockers, avoidable revisions and gaps in the creative workflow, then implement practical improvements.
- Build simple reporting around throughput, turnaround time, approval time, on-time delivery and revision rates.
- Use operational data to highlight capacity constraints and help the team make informed resourcing decisions.
- Help the creative function increase output while maintaining accuracy, compliance and creative quality.

Creative Cost Control and Administration
- Track every editor, designer and creator invoice against agreed rates and delivered work, secure approval and ensure suppliers are paid on time.
- Reconcile payments against the creative tracker so nothing is paid for unless it has been delivered.
- Own the Refunnel administration workflow, keep the platform tidy and audit monthly cost against output to identify waste or duplication.
- Produce a monthly creative P&L covering editors, designers, creators, agencies, Refunnel and tools.
- Report creative spend as a share of paid-media spend and cost per live asset, with a clear baseline and month-on-month trend.
What Good Looks Like After 90 Days
- The creative tracker is the single source of truth for every brief, owner, status, deadline and next action.
- The team can identify what is late, blocked or at risk without chasing for an update.
- Naming errors are close to zero and repeat issues are addressed through clear training and accountability.
- The first three monthly creative P&Ls are complete, with a baseline for creative efficiency and cost per live asset.
- Editors and creators receive consolidated feedback and are paid accurately and on time.
How Success Will Be Measured
- Delivery: creative is completed on time and aligned with the agreed testing and launch schedule.
- Accuracy: final assets meet the brief, naming, formatting, quality and compliance requirements first time.
- Visibility: stakeholders can see the status, owner and next action for every live creative project.
- Efficiency: turnaround times improve and unnecessary revisions, lost files and duplicated work reduce.
- Agency performance: external partners deliver consistently against agreed standards and deadlines.
What We're Looking For
- Experience in creative operations, project management, traffic management, production coordination or a similar role within a high-output creative environment.
- Experience working with paid-social, performance creative, ecommerce or direct-response marketing would be highly valuable.
- A strong understanding of the creative production lifecycle across briefs, filming, editing, feedback, approvals and delivery.
- Confidence coordinating multiple editors, video teams, agencies and internal stakeholders at the same time.
- Excellent attention to detail and the ability to spot errors across copy, formatting, product information, versions and file setup.
- Experience using project-management, workflow or digital-asset-management systems, with the ability to learn new platforms quickly.
- A practical understanding of version control, naming conventions, approval workflows and production documentation.
- Clear communication and the confidence to challenge incomplete briefs, missed deadlines or work that does not meet the required standard.
- The ability to stay calm, organised and solutions-focused when priorities change and creative volume is high.
The Person
You will suit Nutrition Geeks if you are highly organised, naturally detail-focused and energised by making complex workflows run smoothly. You do not need to be the person developing every concept, but you must understand creative production well enough to ask the right questions, protect standards and keep specialists moving in the same direction.
