Description

Are you highly organised, confident juggling competing priorities, and motivated to work in a busy creative team at one of the UK’s best-loved charities?

We’re looking for a Creative Team Operations Coordinator to help keep our in-house Creative Team running smoothly and effectively.

You’ll be at the heart of the team’s day-to-day operations – managing incoming design requests, coordinating schedules and resources, working with colleagues across the Charity and Hospital, and helping ensure creative projects are delivered on time.

It’s a varied role that would suit someone who enjoys bringing order to a busy workload, building strong relationships and finding better ways to get things done.

Salary

The salary for this role is £35,763 per annum and we operate a hybrid working policy of a minimum of 2 days per week in our London office.

In line with our EDI strategy and Total Reward policy, we calculate our salaries based on benchmarking data across the charity sector. To ensure fairness for existing staff and new joiners, we do not offer salaries above the advertised rate.

Key Responsibilities

  • You’ll be the first point of contact for design requests from across the Charity and Hospital, helping colleagues navigate the creative process and making sure briefs are clear and complete.

  • Working closely with the Senior Design Manager and Creative Team, you’ll:

    • Manage the team’s workflow, assessing and prioritising requests against capacity and organisational priorities.
    • Coordinate schedules and negotiate realistic delivery timelines with stakeholders.
    • Keep an eye on workloads and capacity, highlighting risks and recommending how resources can best be used.
    • Coordinate freelancers and agency support.
    • Produce workflow and capacity reporting.
    • Manage digital assets and files.
    • Coordinate print buying, supplier quotes and production schedules.
    • Support with artwork amendments and production tasks where required.
    • Manage supplier invoices, expenditure reconciliation and budget tracking.
    • Help improve the systems, tools and processes the team uses to manage creative work.

Skills, Knowledge And Expertise

We need a highly organised, proactive coordinator who is comfortable taking ownership, solving problems and working with lots of different people.

  • Experience in an administrative, coordination or project support role.
  • Excellent organisational skills and the ability to manage competing priorities.
  • Strong communication skills and confidence building relationships with a wide range of stakeholders.
  • A proactive, practical approach to problem-solving.
  • Excellent attention to detail and accuracy.
  • Experience working with financial processes such as invoices and reconciliations.

Experience in a creative, design or marketing environment would be an advantage, as would experience working with freelancers or creative suppliers, digital asset management, print buying or brand guidelines.

Basic design or artworking skills and some knowledge of Adobe Creative Suite would also be useful, but aren’t essential.

DBS - note a Basic DBS is required for this role.
