CRM Administrative Assistant

Location: Ipswich, UK

In this role, you will play a vital part in assisting the Claims Relationship team to ensure the smooth and efficient delivery of our Motor Claims service. You will support daily operational activities, help manage key client relationships, and contribute to the preparation of reports and updates.

Your role will involve coordinating with various stakeholders, handling administrative tasks related to claims processing, and supporting project initiatives to enhance service quality. By providing proactive support and contributing to the team’s overall workflow, you will help maintain high standards of client service and operational efficiency, ensuring our motor claims processes are handled accurately and promptly.

What you’ll be doing

Essential Responsibilities:

  • Support the Motor pre-renewal process by collating and reviewing relevant claims information.
  • Identify and report all open claims files with an incurred value exceeding £50,000.
  • Monitor and highlight open Accident Damage (AD) claims with formula reserves that have remained open for more than 10 months.
  • Monitor and highlight open Third Party (TP) claims with formula reserves that have remained open for more than 12 months.
  • Identify potential subrogation opportunities, including reporting on both claim volumes and estimated recovery values.
  • Review open AD claims with reserves exceeding £10,000 that are over three months old and identify potential total loss cases.
  • Support the Claims Relationship Management (CRM) team with ad hoc client Management Information (MI) requests, ensuring information is validated and distributed to approved recipients in line with AXA XL protocols. Escalate recurring reporting requirements to the UK Operations & Business Support team.
  • Conduct initial reviews of broker-requested data cleansing exercises, identify issues, and liaise with claims handlers to coordinate corrective actions.
  • Support and coordinate post-renewal activities and associated reporting requirements.
  • Manage client guide updates and action client-specific documentation requests as required.
  • Communicate relevant process, client, and operational changes to the wider claims team.
  • Assist in the preparation and production of client meeting packs.
  • Identify large loss claims requiring review, obtain updates from handlers with a minimum of two weeks' notice where possible, and compile information into meeting packs.
  • Review client meeting notes and track actions to ensure completion within agreed timescales.
  • Assist in the production and analysis of Motor claims reporting and statistical packs.
  • Support ongoing data quality monitoring and client-specific requirement reviews throughout the policy cycle, including:
    • Tracking subrogation referrals and total loss processes.
    • Ensuring adherence to client-specific handling requirements.
    • Monitoring data quality standards, including reference numbers, division coding, and claims data accuracy

You will report to Claims Relationship & Service Manager.

What you’ll bring

Required Skills and Abilities:

  • Proficiency in Microsoft Office Suite: A good working knowledge of Word, Excel, PowerPoint, and Outlook, with the ability to create, edit, and manage documents, spreadsheets, and presentations efficiently. Familiarity with advanced features such as formulas, pivot tables, and data analysis in Excel is a plus.
  • Attention to Detail: A keen eye for accuracy in all tasks, ensuring that work is error-free, well-organised, and of high quality. Ability to comprehensively review documents and data.
  • Good Communication Skills: Effective written and verbal communication abilities. Able to articulate ideas clearly, professionally across various formats including drafting reports, emails, and presentations.
  • Effective Scheduling and Prioritisation: Demonstrate the ability to plan and manage multiple tasks or projects simultaneously. Skilled in setting priorities, meeting deadlines, and adapting to changing workloads with a proactive approach.
  • Organisational Skills: Capable of maintaining an organised diary and managing calendars to support team goals.
  • Problem-Solving Ability: Able to identify issues in a timely manner and suggest practical solutions.
  • Team Player: Collaborative attitude with the ability to work well with colleagues at all levels, contributing positively to team dynamics.
  • Time Management Skills: Ability to effectively manage time and workload to ensure productivity and punctuality
