CRM Administrative Assistant

In this role, you will play a vital part in assisting the Claims Relationship team to ensure the smooth and efficient delivery of our Motor Claims service. You will support daily operational activities, help manage key client relationships, and contribute to the preparation of reports and updates.

Your role will involve coordinating with various stakeholders, handling administrative tasks related to claims processing, and supporting project initiatives to enhance service quality. By providing proactive support and contributing to the team’s overall workflow, you will help maintain high standards of client service and operational efficiency, ensuring our motor claims processes are handled accurately and promptly.

What you’ll be doing

What will your essential responsibilities include?

  • Assistance with Motor pre renewal process
  • Open files over £50,000
  • Highlight Open AD files with formula reserve – that are older than 10 months
  • Highlight Open files with formula TP reserves older than 12 months
  • Possible Subro matter – number and value
  • Open AD files with AD reserves greater than £10,000 older than 3 months – possible total losses
  • Support the CRM team with any ad hoc requests for MI from clients – check and issue to agreed recipients following AXA XL protocols – if they are needed regularly advise the UK Operations & Business Support team.
  • If Brokers are looking for data to be cleaned – undertake initial review and contact claims team with findings and request assistance
  • Post renewal process
  • Client guide updates / requests
  • Any changes advised to the wider claims team
  • Assistance with Client meeting packs
  • Highlight Large loss files and request updates from handlers – at least 2 weeks’ notice – but longer if possible and collect pack together
  • Review meeting notes – to ensure actions have been actioned
  • Possible assistance with pulling together motor report stats packs
  • Assisting with data monitoring and review of client needs mid cycle, i.e. Subro files being passed to MIS / total losses – client specific requirements being followed – i.e. data quality – ref nos / divisions

You will report to Claims Relationship & Service Manager.

Required Skills And Abilities

  • Proficiency in Microsoft Office Suite: A good working knowledge of Word, Excel, PowerPoint, and Outlook, with the ability to create, edit, and manage documents, spreadsheets, and presentations efficiently. Familiarity with advanced features such as formulas, pivot tables, and data analysis in Excel is a plus.
  • Attention to Detail: A keen eye for accuracy in all tasks, ensuring that work is error-free, well-organised, and of high quality. Ability to comprehensively review documents and data.
  • Good Communication Skills: Effective written and verbal communication abilities. Able to articulate ideas clearly, professionally across various formats including drafting reports, emails, and presentations.
  • Effective Scheduling and Prioritisation: Demonstrate the ability to plan and manage multiple tasks or projects simultaneously. Skilled in setting priorities, meeting deadlines, and adapting to changing workloads with a proactive approach.
  • Organisational Skills: Capable of maintaining an organised diary and managing calendars to support team goals.
  • Problem-Solving Ability: Able to identify issues in a timely manner and suggest practical solutions.
  • Team Player: Collaborative attitude with the ability to work well with colleagues at all levels, contributing positively to team dynamics.
  • Time Management Skills: Ability to effectively manage time and workload to ensure productivity and punctuality
