CRM & Membership Database Implementation Lead

Location: Remote with occasional travel to Manchester

Contract: Fixed-Term Project

Fee: Fixed-price project fee (to be agreed)

Starting: Early September

The Opportunity

Our client, a respected membership organisation, is recruiting for an experienced CRM & Membership Database Implementation Lead to deliver a strategically important transformation project.

This is not an ongoing CRM administration role. Instead, they are seeking an individual or consultant who can lead the design, selection, implementation and handover of a new CRM and membership database that will become the organisation's single source of truth for member information, engagement activity and governance processes.

Much of the relevant information already exists across spreadsheets, email records and other systems. The successful candidate will be responsible for bringing this together into a practical, proportionate and sustainable CRM solution that supports the organisation's future needs without unnecessary complexity.

Working closely with senior stakeholders, you will take ownership of the project from specification through to implementation, training and final handover.

Key Responsibilities

CRM Strategy, Design & Implementation

  • Lead the specification, selection and implementation of a CRM platform suitable for a membership organisation.
  • Design a robust data model covering member organisations, contacts, governance information and engagement history.
  • Migrate, cleanse and validate data from multiple sources.
  • Configure workflows, permissions, reminders and reporting functionality.
  • Establish the CRM as the central membership information platform.

Membership Governance & Relationship Management

  • Create processes for managing member organisations, key contacts and membership records.
  • Support onboarding, renewals and governance requirements.
  • Build and manage an enquiry-to-membership pipeline.
  • Ensure accurate tracking of member interactions and organisational relationships.

Membership Data & Monitoring

  • Develop processes to capture and maintain key member information.
  • Create efficient methods for collecting annual member returns and monitoring data.
  • Ensure data quality, consistency and accessibility across the organisation.
  • Support integration with public-facing membership directory requirements where applicable.

Communications, Events & Training

  • Configure communication and marketing tools within the CRM.
  • Enable management of member events, invitations and attendance tracking.
  • Support training communications, bookings and engagement activity.
  • Implement segmentation and communication preference management in line with GDPR requirements.

Reporting & Handover

  • Develop reports and dashboards for senior leadership and Board reporting.
  • Document processes, governance arrangements and system architecture.
  • Produce user guides and training materials.
  • Deliver training to staff to ensure long-term self-sufficiency.

About You

We are looking for an experienced CRM professional who combines technical expertise with strong stakeholder engagement skills.

Essential Experience

  • Experience designing and implementing CRM or membership database solutions from the ground up.
  • Strong understanding of data modelling, migration and data governance.
  • Experience working with CRM platforms such as HubSpot, Microsoft Dynamics, Salesforce, Zoho or membership-focused systems.
  • Excellent data management and data cleansing skills.
  • Strong understanding of UK GDPR and data protection requirements.
  • Ability to manage and deliver projects independently.
  • Experience using CRM systems for communications, events and member engagement.
  • Strong written communication and training skills.

Desirable Experience

  • Experience working within a membership association, professional body, trade body or not-for-profit organisation.
  • Experience integrating CRM systems with websites and member directories.
  • Experience managing event registration and training programmes through CRM platforms.
  • Experience developing reporting and dashboard solutions for Boards and senior stakeholders.
  • Experience supporting membership growth, engagement and retention initiatives.
