Lebus Upholstery, established in 1840, is one of the largest furniture manufacturers of UK-produced upholstery, based in North Lincolnshire. We have a modern, purpose-built 250,000 square feet factory supplying a wide range of furniture retailers across the UK and Ireland.

Reporting to: Head of Customer Service and Sales
About The Role
Lebus Upholstery is looking for an organised, proactive, and customer-focused Customer Administrator to join our team on a 12-month fixed-term contract covering maternity leave.
This is an important role within our Customer Service and Sales department, acting as a key point of contact for customer accounts and helping to ensure orders, enquiries, and service issues are handled accurately and efficiently.
You will take responsibility for the day-to-day administration of customer accounts, maintaining strong relationships with retailers, agents, and representatives, while ensuring queries are resolved promptly and a high level of customer service is consistently delivered.

Key Responsibilities
- Order management: Collate customer orders, input parts orders, and follow up on outstanding orders and enquiries.
- Customer service: Manage and respond to customer enquiries received by email, fax, and telephone, ensuring all requests are logged and actioned appropriately.
- Query resolution: Resolve customer queries relating to orders, products, and service issues, ensuring timely and effective outcomes.
- Key account administration: Maintain accurate order information and account details for key retail customers, including OFL, Next, and Very.
- Account reconciliation: Review Next debit notes, identifying opportunities for repayment, resolution, and dispute management.
- Spare parts: Provide pricing for spare parts orders, process requests, and chase outstanding items where necessary.
- Complaints management: Log product complaints with the relevant upholsterers, update their websites, and follow up to ensure issues are resolved.
- Collections: Arrange and action collections as required.
- Sales support: Liaise with agents and representatives regarding sales enquiries and customer service matters.
- Customer communications: Keep customer contacts informed of product discontinuations, promotions, and other relevant updates.
- Retailer relationships: Communicate with retailers to agree actions, resolve issues, and maintain positive working relationships.
- Order and service follow-ups: Proactively chase outstanding orders and customer service resolutions.
- Samples and product information: Arrange fabric swatches, point-of-sale materials (POS), samples, and specifications as required.
- General administration: Provide wider office and administrative support when needed.

The Ideal Candidate Will Have:
- Excellent verbal and written communication skills.
- Strong organisational skills and the ability to manage multiple tasks and priorities.
- A high level of accuracy and attention to detail.
- A confident and professional telephone manner.
- Good problem-solving skills and a proactive approach to resolving customer queries.
- The ability to build and maintain positive relationships with customers and colleagues.
- Good IT and administration skills, with confidence in maintaining accurate records.
- The ability to work independently while contributing positively to a busy team.
Salary and Working Hours
Annual salary: £27,686.16
Working hours:
- Monday to Thursday: 8:15 am – 4:45 pm
- Friday: 8:15 am – 3:30 pm
Contract length: 12 months, covering maternity leave.
