Company Description

ProspectOS is a territory operating system designed specifically for UK estate and lettings agents, bringing property intelligence and prospecting automation into one connected platform. It enables agencies to view on-market, off-market, sold, and let properties across chosen postcodes and identify high-potential opportunities using property history and propensity-to-sell signals. ProspectOS helps agents automatically trigger targeted direct mail, manage enquiries and valuations, and create branded prospecting materials and valuation packs. Through its pipeline and insights tools, agencies can track campaign performance, costs, instructions, and attributed revenue, focusing on the critical pre-lead stage to target the right properties at the right time. From initial market signals to final instructions, ProspectOS provides a smarter, more consistent, and measurable way to grow an agency’s territory.

Role Description

The Customer Onboarding Specialist is a full-time, on-site role based in London, responsible for guiding new estate and lettings agency clients through a smooth implementation of ProspectOS. The role involves coordinating onboarding timelines, configuring accounts and territories, and ensuring clients understand how to use core features such as property intelligence, prospecting automation, pipelines, Studio, and Insights. The specialist will conduct training sessions, demos, and workshops for users, answer queries, and provide clear documentation and resources to encourage adoption. Day-to-day activities include gathering client requirements, mapping workflows to the platform, monitoring onboarding milestones, and proactively addressing issues or risks. The role collaborates closely with Customer Success, Product, and Support teams to relay client feedback and help refine the onboarding experience.

  • Strong client-facing skills, including clear communication, relationship-building, and the ability to manage expectations and timelines.
  • Experience with software onboarding, implementation, or customer success, preferably within SaaS, CRM, or property technology environments.
  • Ability to understand and translate estate and lettings agency workflows into platform configurations and practical training content.
  • Solid organizational and time-management skills, with attention to detail and the capacity to handle multiple onboarding projects simultaneously.
  • Comfort working with data-driven tools and dashboards, with a basic understanding of reporting, KPIs, and ROI measurement.
  • Problem-solving mindset, including the ability to diagnose user issues, propose solutions, and escalate effectively when needed.
  • Proficiency in common business tools (e.g., office productivity suites, video conferencing, ticketing or CRM systems).
  • Prior experience in the UK property sector (estate or lettings agencies) is highly beneficial but not mandatory.
  • Bachelor’s degree or equivalent experience in Business, Marketing, Real Estate, or a related field is advantageous.
