Job Overview

We are seeking a highly organised and detail-oriented Customer Operations & Logistics Coordinator to join our dynamic team. This role is pivotal in managing supply chain activities, coordinating logistics operations, and ensuring seamless communication between various departments and external partners. The successful candidate will possess a strong understanding of order processing, customer account management, logistics coordination, export documentation, bonded warehouse processes, customs-related administration, delivery routing, carrier liaison, invoice checks, and general operational support across key accounts.

Key responsibilities include:

  • Processing customer orders from receipt through to dispatch/delivery
  • Managing customer accounts and responding to order, stock, delivery, and documentation queries
  • Preparing export documentation including commercial invoices, packing lists, certificates of origin, carton labels, and other customer/carrier-specific documents
  • Coordinating UK, EU, US, and international shipments with forwarders, carriers, warehouses, and customers
  • Arranging delivery appointments and following customer routing guide requirements
  • Managing portal/EDI requirements for relevant customers
  • Liaising with factories, warehouses, freight forwarders, carriers, and customers to resolve order and delivery issues
  • Monitoring critical paths and ensuring orders progress through each stage
  • Supporting bonded warehouse processes, including in-bond export documentation and stock/admin checks
  • Checking freight, duty, and logistics invoices against expected costs
  • Using Sage 50 and Excel daily for order processing, reporting, tracking, and reconciliation
  • Creating and maintaining trackers, reports, and process notes
  • Investigating and resolving stock, shipment, documentation, and delivery discrepancies
  • Supporting colleagues with process knowledge and customer-specific requirements

Key skills/experience required:

  • Strong attention to detail
  • Excellent organisation and prioritisation skills
  • Confident Excel skills
  • Experience with order processing and logistics administration
  • Ability to follow customer-specific procedures and routing guides
  • Good written communication skills
  • Confidence dealing with customers, suppliers, warehouses, and freight partners
  • Ability to problem-solve under pressure
  • Experience with Sage 50 would be useful
  • Experience with export documentation, customs, bonded warehouse processes, or international shipping would be advantageous
