About the Role

We are looking for a friendly, organised and proactive Customer Service & Administration Assistant to join our team. This is a varied role that combines general administration, customer service, order processing, and stock support. You will play an important part in ensuring orders are processed accurately and efficiently, customers receive clear and helpful communication, and our internal processes run smoothly.

Full training will be provided, so previous experience in every aspect of the role is not essential. We are looking for someone who is reliable, organised, confident communicating with customers and colleagues, and willing to learn.

You will be responsible for

• Review and overcheck AI-generated orders, ensuring orders are accurate and meet the required standards.
• Identify any issues or trends within AI-generated orders and adjust or improve the process where necessary.
• Assist with investigating and resolving stock discrepancies, working with the relevant internal teams where required.
• Book goods in accurately using the internal system.
• Monitor stock availability and contact customers regarding out-of-stock items, providing clear and helpful information and discussing suitable solutions where appropriate.
• Invoice customer orders accurately and efficiently.
• Complete and maintain returns documentation and ensure returned goods are processed correctly.
• Contact customers by telephone to deal with queries, provide updates and assist with any issues relating to their orders.
• Respond to and assist with internal queries from colleagues and other departments.
• Maintain accurate records and ensure all relevant administration is completed promptly.
• Follow company processes and procedures while highlighting opportunities to improve efficiency and accuracy.
• Provide a friendly, professional, and helpful service to both customers and colleagues.
• Undertake other reasonable administrative duties as required to support the wider team.
