Customer Service Administrator Workspace

Overview

About The Role

As one of our front of house, Customer Service Administrators, you will report to Andrew, our Workspace Manager and be part of the Workspace team, split across three locations.

The role is part time, working afternoons, but there is an expectation that you will be able to cover for your job share partners during periods of annual leave.

Relentlessly proactive: You don’t need a script; you have the intuition to deal with a wide variety of situations and the tenacity to follow up on all enquiries.

An effective communicator: Able to deal with customers in person and on the telephone. You will have excellent IT skills and the ability to multi-task whilst delivering excellent customer service.

Salary: £13.45ph starting salary with performance related incentive scheme and excellent benefits.

Location: You will be working at the Advance Northumberland Wansbeck Workspace, located in Ashington, Northumberland, Rotary Parkway, NE63 8QZ.

Duties And Responsibilities:

  • To provide a professional welcome and advisory service at Reception as the first point of contact for Advance Northumberland Workspace and Advance Northumberland Group.

  • To ensure existing tenants and anyone enquiring about Advance Northumberland Workspace receive high quality customer service and support.

  • To show potential clients around Advance Northumberland Workspace facilities.

  • To implement and maintain the workspace management system for enquiries, tenant sign up, move in, movement within and vacating the centre.

  • To proactively deal with any tenant queries, problems, issues etc. throughout their tenancy in an efficient, effective and professional manner.

  • To operate the telephone reception / switchboard as required. To carry out telephone system administration including the call management system.

  • To maintain appropriate records both in terms of tenancy management information and property statutory maintenance requirements and produce the required performance management information.

  • To produce documents for internal and external use, working to the appropriate brand guidelines and Workspace Management System.

  • Undertake filing, word processing, stationery management, photocopying and mailing duties as required by internal and external clients and customers.

  • Log repair and maintenance issues to ensure “fit for purpose” buildings.

  • Facilitation of room bookings – including room preparation and housekeeping - appointments and hosting events.

  • Preparation of purchase orders / processing payments and maintenance of records.

Personal Specification

Essential Criteria

  • Excellent communication and inter-personal skills.

  • Strong administration skills with a need for accuracy and confidentiality. Computer literacy, including Microsoft Office
