20 hours per week across Monday, Friday, Saturday and Sunday
Based at UniLodge Ilam Apartments
A varied role combining customer service, administration and student support

ABOUT THE ROLE

We are looking for a friendly, organised and service-focused Customer Service Coordinator to join our team at Ilam Apartments. This is a busy and varied frontline role where no two days are quite the same. You will be one of the first people residents, whānau, visitors and contractors meet, helping ensure they receive a warm welcome and the information or support they need.

This is a permanent part-time position, 20 hours per week across Monday, Friday, Saturday and Sunday. You will be at the centre of the hall’s daily operations, managing reception services, responding to resident enquiries and completing the administration that keeps the property running smoothly. You will work closely with the Property Manager Operations, alongside a wider team focused on positive resident outcomes.

What You Will Do

  • Provide friendly and professional service at the hall reception
  • Respond to resident, whānau and visitor enquiries in person, by phone and by email
  • Support residents with enquiries about their accommodation and general needs
  • Complete property administration, reporting and record keeping
  • Process financial transactions, purchasing and account-related administration
  • Assist with room bookings, allocations and accommodation records
  • Manage keys, access cards, mail and other reception services
  • Support facilities management functions for the hall
  • Conduct tours for prospective residents
  • Support general property operations and contribute to a positive resident experience

ABOUT YOU

You enjoy helping people and take pride in providing excellent service. You are approachable and confident, while also being organised, reliable and comfortable managing a busy reception environment. You will be someone who notices the details, follows tasks through and can balance several priorities without losing your friendly and professional manner. You understand that working in student accommodation involves more than completing transactions. It is also about helping people feel welcome, informed and supported.

You Will Ideally Bring

  • 2+ years working experience in customer service, reception, administration or a similar frontline role
  • Strong organisation skills and attention to detail
  • Clear and confident written and verbal communication
  • The ability to build positive relationships with people from different cultures and backgrounds
  • Confidence managing competing priorities in a busy environment
  • Good judgement, discretion and an understanding of confidentiality
  • Experience using Microsoft Office and other digital systems
  • The ability to work independently while contributing to a supportive team
  • Experience in student accommodation, tertiary education, hospitality, property management or a residential environment would be valuable.
  • Experience using databases would also be an advantage, but training will be provided.
