Summary

We are looking for an enthusiastic and organised Sales Admin Apprentice to join our family business. This is an opportunity to gain office experience, develop customer service skills and work towards a recognised apprenticeship qualification.

  • Wage: £16,640 for your first year, then could increase depending on your age
  • National Minimum Wage rate for apprentices

Training

Course: Customer service practitioner (level 2)

Hours:

  • Monday – Thursday 8am – 5pm
  • Friday 8am – 4:30pm
  • 40 hours a week

Start date: Monday 4 January 2027
Duration: 1 year 3 months

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience. What you'll do at work includes:

  • Answering telephone calls, taking accurate messages and directing enquiries to the appropriate colleague
  • Responding to customer emails professionally, with support from the team
  • Helping prepare quotations using agreed prices and information provided by colleagues
  • Processing customer orders accurately, checking product codes, quantities, prices and delivery details
  • Preparing and sending order acknowledgement
  • Helping prepare invoices and other sales paperwork
  • Updating customer details, order records and relevant information on our computer systems
  • Checking stock availability and confirming information with the warehouse team
  • Liaising with colleagues and suppliers to obtain prices, product information and delivery updates
  • Keeping customers informed about the progress of their enquiries and order
  • Following up quotations and outstanding enquiries as directed
  • Helping resolve routine customer queries and passing more complex matters to the appropriate colleague
  • Working with the warehouse team to help ensure orders are prepared and dispatched correctly – including spending some time in the warehouse learning the products we sell / how the warehouse processes work
  • Organising and filing emails, quotations, orders and other business documents
  • Learning about our products so you can provide accurate information and recognise when technical advice is needed
  • Treating customer and business information confidentially
  • Supporting colleagues with general office and administrative tasks
  • Completing apprenticeship coursework, attending training and taking part in progress reviews

What you'll learn

Use a range of questioning skills, including listening and responding in a way that builds rapport, determines customer needs and expectations and achieves positive engagement and delivery. Depending on your job role and work environment:

  • Use appropriate verbal and non-verbal communication skills, along with summarising language during face-to-face communications; and/or
  • Depending on your job role and work environment: Use appropriate communication skills, along with reinforcement techniques (to confirm understanding) during non-facing customer interactions.
  • Depending on your job role and work environment: Use an appropriate ‘tone of voice’ in all communications, including written and digital, that reflect the organisation’s brand.
  • Provide clear explanations and offer options in order to help customers make choices that are mutually beneficial to both the customer and your organisation.
  • Be able to organise yourself, prioritise your own workload/activity and work to meet deadlines.
  • Demonstrate patience and calmness.
  • Show you understand the customer’s point of view.
  • Use appropriate sign-posting or resolution to meet your customers needs and manage expectations.
  • Maintain informative communication during service recovery.

Training schedule

This apprenticeship will be delivered remotely in the workplace with a minimum 6 hours per week off-the-job training
Maths & English Functional skills delivered within college setting (if applicable)
