Customer Service Specialist

As part of our growing Customer Service team, we are looking for a Customer Service Specialist to provide exceptional support to our wholesale customers while ensuring seamless order processing and operational excellence across the UK, ROI, and international markets.

THE ROLE

We are looking for a proactive and highly organised Customer Service Specialist to manage the end-to-end administration of customer orders while delivering outstanding service to our wholesale partners.

This role is responsible for building and maintaining strong relationships with customers and distributors, ensuring orders are processed accurately from entry through to invoicing, and collaborating with teams across Sales, Logistics, Credit & Collections, and Fulfilment to deliver an exceptional customer experience.

You'll play a key role in supporting our commercial teams, improving operational efficiency, and ensuring our customers receive best-in-class service throughout every stage of the order lifecycle.

WHAT YOU WILL DO

📦 Order Processing & Management

  • Own the end-to-end administrative processing of customer orders from order entry through to invoicing
  • Ensure orders are processed accurately and efficiently while supporting timely delivery and payment fulfilment
  • Maintain high standards of accuracy across order entry, invoicing, and customer communications
  • Monitor order progress and proactively resolve any issues to ensure an outstanding customer experience

🤝 Customer Relationship Management

  • Build and maintain strong relationships with wholesale customers and distributors across the UK, ROI, and global markets
  • Respond promptly to customer enquiries relating to orders, deliveries, returns, invoices, and product information
  • Deliver a professional, responsive, and solution-focused customer experience
  • Act as a trusted point of contact for customers throughout the order lifecycle

🌍 Cross-Functional Collaboration & Sales Support

  • Work closely with the international Sales team in the USA, Logistics, Credit & Collections, Order Management, and Fulfilment teams
  • Support Sales Managers with administrative activities that help drive commercial success
  • Coordinate seasonal content, imagery, copy, and sample requests for wholesale partners
  • Assist with showroom preparation, buying tools, and seasonal sales support activities

📊 Reporting & Operational Excellence

  • Generate sales reports, delivery schedules, and performance analysis to support business decisions
  • Monitor customer satisfaction and identify opportunities to improve processes and efficiency
  • Maintain accurate customer records and order documentation
  • Contribute to continuous improvements across customer service operations

WHO YOU ARE

We're looking for someone who enjoys building relationships, solving problems, and ensuring every customer receives outstanding service.

You're highly organised, proactive, and comfortable managing multiple priorities while working with teams across different countries and functions.

Skills & Experience

  • Previous experience in wholesale customer service, retail sales support, or a similar customer-facing role
  • Experience working with UK wholesale customers or supermarkets is advantageous but not essential
  • Strong organisational skills with the ability to manage multiple priorities effectively
  • Excellent communication and relationship-building skills
  • Strong Excel skills and confidence working with data and reporting
  • Experience using ERP systems and Business Intelligence tools such as Exenta and Power BI is desirable
  • Experience collaborating with international stakeholders across Sales, Logistics, and Finance
  • Fluent English, both written and spoken
