WorkFin aims to assist dental businesses of all shapes and sizes, regardless of where they are on their journey. Whether it's a single practice, a large group, or somewhere in between, WorkFin can help every step of the way. With an experienced team of finance and operations consultants, all coming from dental backgrounds, we build bespoke solutions that add value to our clients' businesses.

Our process starts by getting to know each client and understanding their business. We then work with them to tailor the support and service needed, tackling their biggest pain points in order of priority. That can take the form of new software implementation, operations advice, or an introduction to our Power BI platforms, giving greater visibility of business performance and more informed decision making.

The world of software and automation is continually developing, so we aim to form long-term relationships with our clients, always bringing them the latest advances in technology – saving time and cost, and increasing the accuracy of their data. Our main areas of support include:

  • Purchase invoice automation
  • Dentist pay automation
  • Operations consultancy on practice optimisation
  • Software conversions and implementations
  • Bespoke Power BI reporting
  • HR and payroll solutions
  • Accounting and bookkeeping support
  • Growth and exit strategy consultancy

THE ROLE

This is a hands-on role at the centre of how WorkFin welcomes and supports its clients. Reporting directly to the CEO, and with full support and training from the team, you'll look after the admin behind client onboarding (tasks similar to a customer success role), run our LinkedIn presence, and keep projects moving by working closely with our developers to make sure tasks get done. It suits someone highly organised and detail-driven who likes to get things finished – and who is always looking for a better way of doing them. You'll be coming into a start-up, so there is real room for growth: as WorkFin expands, the role – and your career – can grow with it.

Hours: 37.5 hours per week, Monday–Friday, with a 30-minute lunch break. Start and finish times may vary to overlap with our development team in India.

KEY RESPONSIBILITIES

Client onboarding support

  • Manage the day-to-day admin of onboarding new practices and groups, from signed agreement to go-live, with support from the CEO and consultants
  • Arrange kick-off calls, gather the information, documents and system access we need, and keep clients updated at every stage
  • Coordinate set-up tasks across our services (e.g. invoice automation, dentist pay, Power BI reporting, payroll) with the relevant consultants and developers
  • Maintain onboarding trackers and client records so the CEO has a clear view of progress at any time
  • Be a friendly point of contact for new clients, check in after go-live, and pass on any opportunities where other WorkFin services could help

LinkedIn marketing

  • Manage the WorkFin LinkedIn page, planning and publishing a regular content calendar
  • Create posts on client successes, product updates, industry insight and events, working with the CEO and consultants
  • Engage with the dental community, grow followers and track performance, reporting results monthly
  • Support the leadership team with their own LinkedIn activity

Task and project coordination

  • Keep on top of development work: log client requests and issues, agree timescales with the developers and follow up so tasks are completed on time
  • Maintain the team's task board in Jira and chase outstanding actions
  • Prepare a clear weekly status update for the CEO covering onboarding, development tasks and marketing

Continuous improvement

  • Document processes, starting with onboarding, so they are clear and repeatable
  • Spot recurring problems, delays or manual work and raise improvement ideas – then help put them in place
  • Collect client feedback and turn it into practical changes to how we work

CEO and business support

  • Support the CEO with diary management, meetings, minutes and follow-up actions
  • Handle general business administration as the company grows

ABOUT YOU

Essential

  • Previous experience in an administration, operations, customer success or account coordination role
  • Exceptional attention to detail – nothing leaves your desk with mistakes
  • Task-driven and organised: you manage multiple priorities and follow up until things are done
  • Confident communicator, comfortable dealing with clients and politely but firmly chasing colleagues, including technical teams
  • Experience using LinkedIn professionally, with a feel for writing engaging posts
  • Proactive mindset, always looking for ways to improve processes
  • Strong IT skills, including Microsoft 365 / Google Workspace and Excel
  • Right to work in the UK

Desirable

  • Experience in the dental or wider healthcare sector
  • Client onboarding or customer success experience in a software / SaaS business
  • Familiarity with Power BI, accounting software or payroll systems
  • Exposure to Jira or similar project and task management tools
  • Exposure to continuous improvement methods (e.g. Lean)

WHAT WE OFFER

  • £32,000 basic salary, rising to £42,000 on-target earnings
  • Home-based working, with travel only when required
