The Customer Supply Admin will be working as a member of the Customer Supply team within the Twinings Supply Chain (TSC) function, collaborating with the wider UK Commercial department (including sales, marketing, and finance) to provide excellence in supply and service.

This role will provide customer service support to regional & national accounts in addition to supporting internal administrative processes such as entering pricing data, maintaining customer address records and uploading product specification data to various external systems.

Please note that this role a minimum of 20 hours across Monday to Friday and is fixed term until 31 December 2024.

Key Responsibilities

  • Responsibility for effective, efficient order management processes for a number of customers (including Major Multiple, national and regional accounts):
    • Daily monitoring of electronic customer orders (EDI)
    • Daily entry of sales orders onto ERP system (SAP) by deadlines and to an accuracy of 99.5%
    • Daily entry of sample orders onto ERP system (SAP) or online samples system by deadlines
    • Allocating stock to orders
    • Releasing orders to 3PL within deadlines, ensuring service levels are not compromised
    • Communication of order status to customers e.g. acknowledgement, shortages
  • Execute pricing process to ensure timely and accurate invoicing to customer, which includes:
    • Entering pricing of new listings in SAP and twinings.co.uk/trade
    • Ongoing maintenance of customers price list
    • Customer Claims administration
    • Investigate customer claims
    • Raise returns and credit notes in line with outcomes of investigations
    • Log credit notes on BluePlanner financial system for audit purposes
  • Administration of Twinings Trade online web platform (twinings.co.uk/trade)
    • Creation of product listings
    • Maintaining customer data
    • Product data maintenance in customer portals and spreadsheets
    • Using ERP to gather product data
    • Maintaining product data in customer portals and spreadsheets as required

Skills, Knowledge and Expertise

  • Experience in a service focused role.
  • Professional and confident with customers, and all partners; remaining calm and polite under pressure
  • Proficient in spoken and written English
  • Communicates and presents effectively with confidence
  • Builds rapport quickly and effectively with customers and colleagues
  • Comfortable working to tight deadlines and remains composed under pressure
  • Prioritizes their workload effectively, and knows when to seek help
  • Able to work with both speed and accuracy with a high level of attention to detail
  • Experience in SAP would be advantageous
