Customs Import & Export Coordinator

We are looking for an organised and proactive Customs Import & Export Coordinator to join our Haddenham operation. The role coordinates the customs clearance, receipt, release, and onward delivery of daily import trailers from the Netherlands, as well as the collection, customs preparation, and dispatch of the weekly export trailers.

Key Responsibilities

  • Coordinate customs clearance and onward delivery of daily import trailers arriving from the Netherlands.
  • Maintain a close working relationship with ALS and BF Global to ensure shipments are cleared promptly and missing documentation or information is resolved.
  • Prepare and control import documentation, including matching T1s with invoices, creating UCNs on Destin8 and maintaining accurate shared-drive records.
  • Arrange devan permission for import trailers and coordinate manifests, labels, unloading and freight identification with the warehouse.
  • Set up customer and handover-agent accounts and Powers of Attorney (POAs) where required.
  • Coordinate upfront collection of Import Duty and VAT from customers where required before release.
  • Prepare and issue pre-manifests, review export entries and T1 documentation, and prepare loading lists, manifests, CMRs and shipment labels.
  • Ensure export shipments are scheduled and ready to scan out before loading; prepare the final driver document pack.
  • Complete final trailer controls, including seal application and photographic evidence, upload documentation/photos and issue the completed manifests.
  • Provide accurate shipment and supporting information required for billing and associated operational records.

  • Experience in customs, freight forwarding, import/export, transport or international logistics would be highly beneficial.
  • Good understanding of shipping and customs documentation, with strong attention to detail and accuracy.
  • Confident working with multiple systems, shared records, email and customer/agent portals. Experience with Destin8 and Contrado would be advantageous.
  • Strong organisational skills with the ability to manage daily import activity alongside fixed weekly export deadlines.
  • Clear, professional communication skills when dealing with customers, customs agents, overseas partners, and internal teams.
