Job Description

We are seeking a highly organized, tech-savvy, and forward-thinking Cybersecurity Operations & Enablement Associate to support the Visa Europe CISO / Global Head of Cyber Defense, the Cyber Defense Leadership Team, and the wider Cybersecurity Fusion Centre in London (approximately 110 employees). This is not a traditional administrative role; it is a dynamic position designed for someone who blends foundational executive support with modern technical capabilities and site-level community building.

The ideal candidate will be proficient in utilising Generative AI for research and productivity gains, possess a keen eye for proofreading presentations and documentation, and have the logistical prowess to manage budgets, coordinate high-profile site tours, and drive team culture through event planning. If you are a proactive problem-solver who brings maturity, precision, and a modern toolkit to operations and enablement, we want you on our team.

Key Responsibilities

Operations & Team Support (London Site)

  • Executive Support: Provide ad-hoc scheduling, inbox management, and operational support to the Visa Europe CISO / Global Head of Cyber Defense and the broader Cyber Defense Leadership Team to ensure smooth daily operations.
  • Wider Team Support: Act as the primary operational point of contact for the London Cybersecurity team (~110 people). Support site-specific operational needs, onboarding logistics for new hires, and localized team inquiries.
  • Library & Resource Management: Maintain and organize the Cybersecurity library. Ensure physical and digital reference materials, industry books, and resources are kept up to date, tracked, and easily accessible to the team.

Research & Document Support

  • AI-Driven Profiling: Leverage Generative AI and open-source intelligence (OSINT) tools to research and build comprehensive briefing profiles on public figures, external stakeholders, and prospective partners prior to executive meetings.
  • Document Review: Act as the final line of defence for critical documentation. Proofread, format, and review complex Risk Papers and executive summaries, ensuring grammatical accuracy, clarity, and alignment with corporate standards.

Event, Culture & Logistics Coordination

  • Internal Events & Town Halls: Organize and execute large-scale team events, including global Town Halls, internal learning sessions, social gatherings, and team volunteering initiatives. Manage all logistics, including virtual meeting platforms (e.g., Zoom/Teams webinars), invitations, and agenda coordination.
  • Fusion Center Tour Management: Serve as the primary coordinator and point of contact for VIP, client, and stakeholder tours of our London Fusion Center.
  • Presenter Coordination: Manage end-to-end tour logistics, which includes scheduling the facility, lining up subject matter experts (SMEs) to present, preparing briefing materials, and ensuring a seamless experience for visitors.

Financial Operations & Travel

  • Cost Center Management: Assist in managing and tracking departmental cost centers, ensuring spend aligns with quarterly and annual forecasts.
  • Training Budget Oversight: Take specific ownership of the team's training cost center, tracking course expenditures, managing vendor invoices, and ensuring equitable distribution of training funds.
  • Expense Reporting & Travel: Manage international travel itineraries, and prepare, process, and reconcile executive expense reports efficiently and accurately using corporate expense software (e.g., Concur), ensuring compliance with company policies.

Qualifications

Basic Qualifications:

  • Bachelor's degree, OR 3+ years of relevant work experience

Preferred Qualifications

  • Bachelor's degree, OR 3+ years of relevant work experience
  • 2 or more years of work experience.
  • Experience: 2–5 years of experience in an operations, office management, executive support, or project coordination role, preferably within a corporate, tech, or risk environment.
  • Global Acumen: Experience working in a global, matrixed company is highly preferred. Must be adept at scheduling, communicating, and coordinating seamlessly across multiple international time zones.
  • Tech & AI Fluency: Comfortable using modern Generative AI tools (e.g., ChatGPT, Claude, Copilot) to accelerate research, summarize information, and draft communications.
