About the Role

We are looking for a motivated Data Administration Apprentice to join our team on a Level 3 Data Technician apprenticeship. This role combines day-to-day administrative support with hands-on data work — sourcing, formatting, checking, and presenting information so it is accurate, secure, and easy for colleagues to use. You will develop practical data literacy skills while supporting the smooth running of the office and its systems.

This is a great opportunity for someone early in their career who wants to build a foundation in data handling and analysis alongside core administrative and organisational skills, with a route into more specialist data or analyst roles.

Key Responsibilities

  • Source, collate, and format data from a range of internal and external systems in line with organisational standards
  • Check data for quality issues such as duplicates, errors, or inconsistencies, and take corrective action
  • Store, manage, and share data securely and in compliance with GDPR, the Data Protection Act, and internal policies
  • Apply basic anonymisation techniques where required for privacy or compliance
  • Use spreadsheets and simple dashboarding tools to organise and visualise data (e.g. tables, charts, pivot tables)
  • Carry out basic statistical calculations (e.g. averages, percentages, totals) to summarise information
  • Produce clear documentation of data sources, actions taken, and findings, using standard templates
  • Provide day-to-day administrative support to the team, including some diary management, correspondence, and filing, primarily working in the international secretariat department
  • Maintain accurate records and databases, ensuring information is up to date and easily retrievable
  • Prepare reports, summaries, and presentations for internal stakeholders
  • Support meetings with scheduling, minute-taking, and follow-up actions
  • Handle routine enquiries by telephone, email, and in person, directing them appropriately

Required Skills

  • Strong attention to detail and accuracy
  • Good written and verbal communication skills
  • Comfortable using Microsoft Office (particularly Excel/Word) or equivalent tools
  • Organised, with the ability to manage multiple tasks and deadlines

Additionally, the following experience would be beneficial:

  • Some prior experience in an office, admin, or customer-facing role
  • Basic familiarity with spreadsheets, databases, or reporting tools
  • An analytical mindset and interest in problem-solving

Entry Requirements

  • 3 GCSEs (or equivalent) at grades 4+ (A-C) in any subject
  • GCSE Maths and English (or equivalents) at grades 3+ (D or above)
  • Prospective apprentices must not hold an existing qualification at the same or higher level as this apprenticeship in a similar subject

You may also have a combination of qualifications and experience which demonstrate the minimum foundation needed for the programme. In this instance you could still be considered for the programme.

If you hold international equivalents of the above qualifications, at the time of your application you must be able to provide an official document that states how your international qualifications compare to the UK qualifications.
