Why This Role Matters

This role is fundamental to the continued growth and success of the Guidance and Education Systems (GES) service. As MaPS’ flagship Money Guiders offer expands its reach and impact, high-quality data, efficient processes and reliable systems are essential to ensuring the service can scale effectively and sustainably.

Working at the heart of GES operations, you will help build and maintain the data foundations that support delivery, insight and decision-making across the organisation. By ensuring CRM and operational records are accurate, consistent and up to date, and by supporting the development of scalable data systems and processes, you will enable teams to make informed decisions, demonstrate impact and deliver an excellent experience for partners and stakeholders.

Collaborating across Operations, Portfolio & Planning, Design & Development, and Relationships, you will play a key role in data quality improvement, KPI reporting, partner record management and delivery administration. Your work will help ensure that GES has the trusted information it needs to grow efficiently, maximise its reach and continue delivering value to the money guidance sector.

Job Description

What You’ll Be Doing

The Data Administrator will report directly to Sector Skills Network and Communities Lead and will be responsible for:

  • Maintain accurate organisation, contact, partner, and practitioner records in CRM and related operational systems, ensuring all records are complete, correctly related, consistent, and up-to-date.
  • Collaborate with LMS administrators to align CRM with our Learning platform records as needed.
  • Conduct routine data quality checks and cleansing activities, identifying and resolving or escalating any discrepancies such as gaps, duplicate records, or outdated information.
  • Support monthly KPI and performance reporting by preparing and updating data related to various engagement metrics and activities.
  • Maintain ongoing records of events and activities, ensuring data is captured promptly and accurately to support timely reporting.
  • Provide data and administrative support for various delivery activities, including event management and potential grant programme administration.
  • Assist the Relationships function in maintaining accurate organisational hierarchies within the CRM, coordinating with LMS administrators as necessary.
  • Collaborate across multiple departments to support unified data flows, reduce duplication, and enhance management information.
  • Work with data governance teams to adhere to data standards, improve data quality, and resolve any data issues impacting reporting or insights.
  • Maintain clear records of data changes and actions taken for accountability and verification purposes.
  • Identify and implement opportunities to simplify processes and enhance the quality of management information.
  • Respond to routine data and system administration queries, providing guidance and escalating complex issues as needed.
  • Handle information in compliance with data protection, classification, and governance standards.

What You’ll Bring

To be successful in this role, you’ll need:

  • Experience of maintaining accurate data in CRM or a similar business system, with strong attention to detail.
  • Good working knowledge of Microsoft Excel, reporting spreadsheets or similar tools used to check, organise and summarise data.
  • Experience of data cleansing, record management or administrative quality assurance.
  • Well organised, with the ability to manage routine tasks, competing priorities and deadlines accurately and reliably.
  • Clear communication skills and the ability to work collaboratively with colleagues across different teams.

Shortlisted candidates will be invited to attend a final interview via Microsoft Teams.

Interviews will last 1 hour and will be conducted by a panel of three.

The session will include a task which you will be given time in advance of the interview day to prepare for, followed by a range of competency-based questions to assess your skills, behaviours, and alignment with the role.
