Alsop High School is looking for a career-driven and organized candidate to join their busy team. This is a great opportunity to gain valuable experience and obtain a level 3 qualification in School Business Administration. The purpose of the role is to support the school systems and processes for exams and data.

Duties and Responsibilities:

  • Work with the Data and MIS Manager on all aspects of student data.
  • Assist with the uploading of data on the Academy achievement reporting system SISRA.
  • Assist with collecting data for the school's assessment entry system on BromCom.
  • Support on all aspects of student reporting e.g., progress monitoring sheets after each AP point.
  • Ensure that the school complies with the regulations of the Data Protection Act.
  • Support the school exam entry systems.
  • Assist with periodic cleansing of data on SISRA.
  • Assist with retrieving prior data on students using the keys to success website.
  • Assist with keeping the course manager up to date throughout the year.

Examinations:

  • Support with whole school internal and external exams.
  • Support with the examination processes as detailed below.
  • Dissemination of results to staff, students, and parents.
  • Reading in result files.
  • Organisation of seating plans.

Assessment, Reporting and Recording:

  • Assist with the distribution of student attainment data: report grades, examination results, gender information, student groups for use in target setting, prior attainment information, Ofsted analysis, etc.
  • Assist in producing and importing student targets for KS3 and KS4 in line with the academy target setting procedure.

Student Data:

  • Input data for new intake and any new starters.
  • Update any in-year student information changes.
  • Produce Data collection sheets prior to Parents Evening for each year group.
  • Assist with the administration of year 9 guided choices process.

Timetable:

  • Update and apply periodic and casual changes to timetables, courses, teachers, and rooms.
  • Ensure accuracy of pupil data form groups/class groups and year groups.
  • Understand and set up banding changes and procedures.
  • Maintain and check course information sheets alongside course manager information.
  • Print timetables prior to new academic year and when/if there are changes.

Understanding apprenticeship levels (opens in new tab)

Course contents:

  • Skilled in the use of multiple IT packages and systems relevant to the organization in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports, and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports, and able to review others' work. Maintains records and files, handles confidential information in compliance with the organization's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organization. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing, or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organization, representing the organization or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organization e.g., coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g., impact on clients, suppliers, other parts of the organization). Manages resources e.g., equipment, or facilities. Organizes meetings and events, takes minutes during meetings, and creates action logs as appropriate.   • Uses relevant project management principles and tools to scope, plan, monitor, and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Essential qualifications:

  • GCSE in:
