Purpose of the Role

You will own the data that tells us, and our partners, how our projects and HVAC services are performing. You will build accurate, timely reporting on MBRs and QBRs, KPIs and SLAs, spot trends in asset and service data, and turn them into practical recommendations. The role sits between operations, account management and the client. You will be the go-to person for "what do the numbers say?" and help us move from reactive firefighting to data-led planning.

Key Responsibilities

Performance Reporting

  • Produce weekly and monthly KPI and SLA reports, covering response and completion times, PPM compliance, first-time fix rate and reactive call volumes.
  • Build and maintain dashboards (e.g. Power BI) for operations, commercial and client audiences.
  • Prepare data packs and insight summaries for monthly partner performance reviews (MBRs/QBRs).

  • Track project progress, cost, variations and forecasts against budget and programme.
  • Analyse subcontractor and supplier performance.

HVAC Asset and Service Analysis

  • Analyse asset registers, maintenance history and fault data to find recurring failures and high-cost assets.
  • Support lifecycle and capital replacement planning with condition and cost evidence.

Data Quality and Systems

  • Own the accuracy of data in our CAFM / job management system, including asset records and job close-outs.
  • Set data standards and work with engineers and coordinators to fix gaps at source.
  • Automate repetitive reporting and reduce manual spreadsheet work.

Insight and Improvement

  • Turn findings into clear, plain-English recommendations for managers and the client.
  • Respond to ad-hoc data requests from the client and internal teams.
  • Support continuous improvement, audits and contract renewal or tender submissions with evidence.

What Success Looks Like

  • Statutory compliance is maintained at 100%, with SLAs and response times consistently met.
  • Weekly and monthly KPI and SLA reports are issued on time and accurate, with no corrections needed after they go out.
  • MBR and QBR data packs are ready ahead of each review, with clear, plain-English insight for the client.
  • CAFM data quality improves against an agreed target, covering asset record completeness and job close-out accuracy.
  • Dashboards are in regular use by operations, commercial and the client.
  • Manual spreadsheet reporting reduces as automation is introduced.
  • Ad-hoc data requests are answered within agreed turnaround times.
  • Recurring failures, high-cost assets and budget or programme risks are flagged early, with a clear recommendation attached.
  • The Account Director can see performance at a glance and trusts the numbers.
  • Budget variance stays within agreed limits.
  • Clients are confident in delivery, reflected in NPS.
  • Risks and issues are identified early and addressed appropriately.
  • The Account Director has clear visibility of performance, supported by a well-led, motivated team.

Skills & Experience

Essential

  • At least 2 years in a data, reporting or MI analyst role.
  • Advanced Excel (pivot tables, Power Query, VLOOKUP, data modelling).
  • Hands-on experience building dashboards in Power BI or a similar tool.
  • Able to explain data clearly to non-technical audiences, including clients.
  • Strong attention to detail and a habit of checking data before it goes out.

Desirable

  • Experience in facilities management, building services, HVAC or construction.
  • Familiarity with CAFM or job management systems (e.g. Concept, Planon, Maximo, JobLogic, simPRO).
  • SQL, DAX, Python or Power Automate.
  • Understanding of SFG20, PPM regimes, F-Gas or statutory compliance reporting.
  • Degree in a numerate subject, or equivalent experience.
  • Proactive and comfortable taking ownership.
  • Calm under pressure and able to adapt to changing priorities.
  • Practical, solutions-focused and commercially minded.
  • Collaborative, reliable and aligned with UP's values and standards.

  • Practical: you favour useful, simple reporting over perfect, complex models.
  • Confident with people: comfortable working with engineers on site and presenting to client/internal stakeholders.
  • Organised: you manage regular deadlines alongside ad-hoc requests.
