About the Role

The Data Quality Analyst is responsible for the day-to-day management, optimisation and development of the Company's operational systems, reporting platforms and business intelligence capabilities. The role will oversee key business systems including our Property Management System, compliance and facilities management platform, Power BI reporting environment and other operational technologies used throughout the business. Working closely with operational, finance and leadership teams, the role will ensure systems are utilised effectively, data remains accurate and reliable, and reporting provides meaningful insight that supports operational performance and business growth. The role will also act as the primary relationship manager for the Company's third-party IT service provider, helping to ensure technology services, infrastructure and user support are delivered effectively. This position is ideally suited to someone who enjoys working with systems, analysing data, solving problems and identifying opportunities to improve the way a business operates.

Responsibilities

Key Responsibilities

Systems Ownership & Administration

  • Act as the business owner for core operational systems.
  • Monitor system performance, reliability and user adoption.
  • Manage system configuration, permissions, workflows and user access.
  • Support system upgrades, enhancements, integrations and testing activities.
  • Develop and maintain system procedures, guidance and best practice documentation.
  • Act as the primary point of contact for software providers and technology partners.
  • Support users across the business with system-related queries and improvement opportunities.

Reporting & Business Intelligence

  • Own and develop the Company's Power BI reporting environment.
  • Produce, maintain and improve operational, compliance and commercial dashboards.
  • Deliver accurate and meaningful management information to support decision-making.
  • Work with stakeholders to understand reporting requirements and performance measures.
  • Support the development of automated reporting solutions where appropriate.
  • Ensure reporting remains accurate, timely and aligned with business objectives.
  • Provide insight and analysis to support operational and commercial performance reviews.

Data Quality & Governance

  • Establish and maintain high standards of data quality across all business systems.
  • Conduct regular audits and reviews of system data to identify inaccuracies, gaps and opportunities for improvement.
  • Work with teams across the business to improve data accuracy and consistency.
  • Develop processes and controls that support effective data management.
  • Investigate data anomalies and support corrective actions where required.
  • Promote a culture of accountability for data quality throughout the organisation.

Process Improvement & System Optimisation

  • Review operational workflows and system processes to identify opportunities for improvement.
  • Support the development of more efficient and consistent ways of working.
  • Work with operational teams to reduce manual administration and improve system utilisation.
  • Assist with process mapping and documentation activities.
  • Support the implementation of system enhancements and business improvement initiatives.
  • Ensure systems support compliance requirements, business processes and operational standards.

IT Service Management

  • Act as the primary relationship manager for the Company's outsourced IT support and managed service providers.
  • Monitor the performance of third-party IT providers against agreed service levels.
  • Coordinate the resolution of significant IT issues and service interruptions.
  • Support the implementation of new hardware, software and technology solutions.
  • Review licensing arrangements and technology services to ensure they remain appropriate for business needs.
  • Act as an escalation point for technology-related issues where required.

Technology & Innovation Support

  • Keep informed of emerging technologies and industry best practice.
  • Identify opportunities to improve business performance through better use of systems, automation and technology.
  • Support the Operations Director in evaluating new technologies and digital opportunities.
  • Assist with the implementation of automation tools and process improvements where appropriate.
  • Explore opportunities to utilise artificial intelligence and business automation tools to improve efficiency and productivity.
  • Contribute to continuous improvement initiatives across the business.

Finance & Commercial Reporting Support

  • Support the finance team with system-driven reporting and data analysis.
  • Assist with the development of reporting solutions using data from Xero and other financial systems.
  • Work collaboratively with finance colleagues to improve reporting automation and data visibility.
  • Support commercial analysis and business performance reporting where required.
  • Assist with integrating operational and financial data to provide meaningful business insight.

Training & Stakeholder Support

  • Act as a subject matter expert for core business systems.
  • Provide training, guidance and support to users across the business.
  • Develop user guides, procedures and best practice documentation.
  • Promote effective system utilisation and encourage continuous improvement.
  • Build strong working relationships with operational teams, support functions and external partners.
