Job Title: Data & Reporting Administrator

Reports to: Head of Talent Acquisition

Type: Permanent, full time 35 hours per week

Location: Hybrid, 1/2 days a week in our Burntwood head office

Salary: Up to £32,000 per annum DOE

About the role

As our Data & Reporting Administrator, you’ll play a key role in supporting the Talent Acquisition team through accurate data, insightful reporting and effective recruitment systems.

You’ll take ownership of recruitment data and system administration, producing regular and ad-hoc reports that help the team understand performance, identify trends and make informed decisions. You’ll also help ensure our recruitment systems are well maintained, data is high quality, and processes run smoothly throughout the candidate journey.

Working closely with Talent Acquisition, People team, hiring managers and other stakeholders, you’ll be a trusted point of contact for recruitment data and systems, helping to improve reporting, streamline processes and make better use of our recruitment technology.

You’ll act as the SME for our ATS (ICIMS), championing the system as the single source of truth for TA reporting and data.

What You’ll Be Doing

Recruitment Systems Administration

  • Act as a key administrator for our Applicant Tracking System (ATS) and other Talent Acquisition systems.
  • Maintain system data, user access, workflows, recruitment templates, fields and configuration.
  • Create and maintain user accounts, permissions and access levels.
  • Support the onboarding and offboarding of system users.
  • Troubleshoot system issues and liaise with system providers or IT where required.
  • Maintain recruitment processes and workflows within the ATS, ensuring they remain accurate and fit for purpose.
  • Support system testing, upgrades and implementation of new functionality.
  • Develop and maintain system guidance and user documentation.
  • Provide first-line support and advice to recruiters and hiring managers on system queries.

Data & Reporting

  • Produce accurate and timely recruitment reports and dashboards for Talent Acquisition and senior stakeholders.
  • Maintain regular reporting on recruitment activity, including vacancies, applications, interviews, offers, hires, time-to-hire and recruitment pipeline data.
  • Prepare ad-hoc analysis and reports in response to business requirements.
  • Maintain reporting schedules and ensure recurring reports are delivered within agreed deadlines.
  • Support the development and improvement of recruitment dashboards and management information.
  • Ensure recruitment data is consistently defined, recorded and reported across the team.

Data Quality & Governance

  • Carry out regular data-quality checks within recruitment systems.
  • Investigate and correct inaccurate, incomplete or duplicate records.
  • Support compliance with data protection, retention and information governance requirements.
  • Ensure recruitment records are maintained appropriately throughout the candidate lifecycle.
  • Assist with audits of recruitment data and system access.
  • Maintain accurate records of system changes and reporting definitions.

Talent Acquisition Support

  • Support recruitment campaigns and bulk recruitment activity through accurate system configuration and reporting.
  • Work with recruiters and hiring managers to ensure recruitment activity is correctly recorded in the ATS.
  • Provide data and insight to support workforce and recruitment planning.

Key skills and experience

  • Experience in data, reporting, HR, recruitment operations or Talent Acquisition.
  • Proven system administration experience, ideally within an ATS, HRIS or similar system.
  • Experience managing users, access permissions, workflows, configuration and system data.
  • Experience producing regular and ad-hoc recruitment/HR reports and MI.
  • Strong Excel skills, including data analysis, manipulation and presentation.
  • Experience identifying and resolving data-quality issues.
  • Strong attention to detail, organisation and ability to meet deadlines.
  • Confident communicating system and data issues to non-technical stakeholders.

Desirable Experience

  • Experience administering Workday, SAP SuccessFactors, Oracle, iCIMS, Greenhouse, SmartRecruiters, Workable or similar ATS/HRIS.
  • Experience developing Power BI or other recruitment dashboards.
  • Experience supporting system implementations, upgrades and configuration changes.
  • Understanding of recruitment processes and the candidate lifecycle.
  • Knowledge of GDPR and recruitment data protection.
  • Experience working with large datasets and producing management information.
