Document Controller

Location: Portsmouth, United Kingdom
Salary: £35,000 - £40,000 per annum
Job Type: Permanent, Full-Time

Are you an experienced Document Controller with a strong understanding of digital information management and construction project workflows? Do you have experience working with Common Data Environments (CDEs), document compliance and BIM-related processes, and want to play a key role in improving digital delivery across major projects?

Our client, a leading civil engineering and infrastructure contractor, is looking to appoint a Document Controller to join their team. This is an excellent opportunity for a detail-oriented and proactive professional to take ownership of document management systems, support project teams and contribute to the ongoing development of digital construction practices.

The Role

As a Document Controller, you will be responsible for overseeing project information workflows, maintaining document management systems and supporting the effective use of digital platforms across construction projects. You will play an important role in ensuring documentation meets project requirements, while helping project teams, subcontractors and other stakeholders make the most of the systems and processes available.

Key Responsibilities

  • Manage and maintain project documentation in accordance with established information management procedures, contractual requirements and project standards.
  • Review and validate documents to ensure they meet agreed naming conventions, metadata requirements and information exchange protocols.
  • Support the development and implementation of document control standards, workflows and best practices across projects.
  • Maintain the project document control register, ensuring records are accurate, up to date and easily accessible.
  • Manage document numbering and reference allocation in line with project-specific requirements.
  • Coordinate the review, approval and distribution of project information through the relevant digital platforms and agreed workflows.
  • Work alongside the Project Data Manager to monitor document workflows, track progress and produce performance reports using dashboard data.
  • Provide guidance, training and ongoing support to project teams in the use of Common Data Environments (CDEs).
  • Collaborate with design, engineering and construction teams to encourage consistent information management practices and support digital innovation.
  • Identify effective processes and solutions developed on projects and help share these across the wider business.
  • Review opportunities to improve existing software systems and digital workflows, working with colleagues to identify potential enhancements.

About You

The ideal candidate will have experience in construction document control, a good understanding of digital information systems and the ability to work collaboratively with a range of project stakeholders.

Essential Skills & Experience

  • Minimum of three years' experience in Document Control within the construction or civil engineering sector.
  • Strong understanding of document management systems and digital platforms used within construction projects.
  • Experience working with one or more Common Data Environment (CDE) software systems.
  • Knowledge of document validation, information workflows and digital project record management.
  • Understanding of construction industry information management standards, including BS EN ISO 19650 principles.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, Power BI and Visio.
  • Full UK driving licence.

Desirable Experience

  • Previous experience using Autodesk Forma or similar construction information management platforms.
  • Practical knowledge of BIM processes and how they are applied within a construction contracting environment.
  • Experience supporting the implementation or improvement of digital systems across projects.
  • Familiarity with information management requirements, project delivery workflows and collaborative working environments.
