Position: Property Services Project Analyst

Reports to: Property Services Project Manager & Design Authority

The Team

The Property Services team create and maintain environments for everyone to do their best work. This role will support the delivery of the team’s project and change portfolio, with a primary focus on the US, helping to ensure projects are well coordinated, accurately tracked and effectively communicated.

The Role

The Property Services Project Analyst will provide day-to-day support to the Property Services Project Manager & Design Authority, with a primary focus on the US project and change portfolio. The role will help coordinate project activity, maintain project documentation, support reporting and governance, and ensure actions, risks, budgets and timelines are tracked effectively.

Working closely with internal stakeholders, local office contacts and third-party suppliers, the role will support the smooth delivery of property projects and changes, helping to translate requirements into practical actions and ensuring stakeholders are kept informed of progress.

Key Responsibilities

  • Support the coordination and delivery of Property Services projects and changes, with a primary focus on the US portfolio.
  • Maintain project plans, action trackers, risk and issue logs, budgets and governance documentation to support effective project control.
  • Prepare regular reporting and updates for stakeholders, highlighting progress, dependencies, risks and decisions required.
  • Coordinate meetings, track actions and follow up with stakeholders, local contacts and suppliers to keep activity moving forward.
  • Support procurement, finance and operational processes associated with projects and change activity, ensuring records and approvals are up to date.
  • Maintain project documentation, shared files, trackers and systems to ensure information is accurate, current and easy to access.
  • Support change implementation activity by helping to coordinate communications, move plans, readiness actions and post-implementation follow up.
  • Build effective working relationships with internal stakeholders and third parties to support the successful delivery of projects and change initiatives.
  • Provide on-site coordination for project delivery activities, including attending site visits and supervising contractors within agreed zones, schedules, and safety requirements.
  • Oversee and support delivery of small works, furniture installations, asset relocations and workplace changes, ensuring alignment to approved layouts, scope, programme, and quality expectations.
  • Monitor supplier performance, coordinate logistics and stakeholder interfaces, and identify, log and escalate site issues, including snagging and defect resolution prior to project sign-off.

Person Specification

  • Experience in project coordination, project support, business administration or a similar role.
  • Strong organisational skills with the ability to manage multiple priorities and maintain attention to detail.
  • Confident in producing clear reports, trackers and presentations, with good written and verbal communication skills.
  • Comfortable working with project plans, budgets, action logs and governance documentation.
  • Proactive, dependable and solution-focused, with the confidence to follow through and escalate where needed.
  • Strong relationship-building skills and the ability to work effectively with colleagues and suppliers across different locations and time zones.
  • Good working knowledge of Microsoft Office tools, particularly Excel, PowerPoint, Word and Teams.
  • An interest in property, workplace change or project delivery would be advantageous.
  • Ability to work outside of normal working hours to complete delivery of key onsite activity.
  • Ability to travel if needed to complete onsite surveys and delivery.
