About The Role

We’re looking for an experienced Operations & Delivery Coordinator to join Parallax on a 12-month fixed-term contract.

Working closely with our Operations Manager and Delivery team, you’ll play a central role in keeping our delivery operations running smoothly: maintaining our resourcing and project information, monitoring capacity and upcoming demand, coordinating lower-complexity projects, and making sure the operational detail behind delivery is taken care of.

You’ll be expected to identify what needs to be done and manage your own workload, rather than working from a predefined task list. Our priorities move quickly, so we need someone who is comfortable understanding what needs doing, deciding what matters most and taking action. You’ll need to be confident switching between different areas of the business, spotting potential issues early and challenging things when they don’t look right.

A big part of your role will be making sure the administrative and operational side of delivery runs smoothly, without needing regular input and direction from leadership.

Alongside delivery operations, you’ll also support wider business operations when needed, which may include recruitment coordination, contractor administration, process improvement and other operational projects.

What You'll Be Doing

Delivery operations and resourcing:

  • Own the day-to-day administration and hygiene of our project and resourcing information in our resourcing and capacity planning tool, Forecast
  • Monitor schedules, availability, project allocations and upcoming demand across the business
  • Compare upcoming project needs against team capacity and flag potential gaps, clashes or under-utilisation early
  • Challenge allocations or assumptions where something doesn’t look right and work with Delivery Managers and team leads to resolve issues
  • Support the Operations Manager with visibility of current and future resourcing
  • Help ensure project plans, allocations and timelines remain accurate and up to date
  • Support with Statements of Work, including coordination, administration and initial reviews where appropriate
  • Maintain project documentation, reports and progress information

Project coordination:

  • Coordinate projects where a dedicated Delivery Manager isn’t required
  • Support Delivery Managers where additional project administration or coordination is needed
  • Track actions, timelines, risks and dependencies and take responsibility for making sure they’re followed through.
  • Coordinate internal teams and stakeholders to keep work moving
  • Support client communication where required, although the role will be predominantly internally focused

Business Operations:

  • Take ownership of operational tasks and initiatives delegated by the Operations Manager, working independently to determine what needs to be done and see them through.
  • Support recruitment activity through interview coordination, candidate administration and onboarding logistics
  • Support contractor onboarding and offboarding administration
  • Provide occasional support across wider business operations depending on priorities
  • Help maintain accurate operational documentation and processes
  • Identify inefficient or unnecessarily manual ways of working and suggest or implement better approaches

About You

It would be beneficial to have worked in an operations, project coordination, delivery operations, PMO or similar role within a consultancy, agency, technology business or another fast-moving professional services environment.

More important than your exact previous job title is how you work.

You’ll be someone who:

  • Is highly organised and able to create the structure you need to manage your work effectively
  • Is comfortable working independently and making sensible decisions
  • Can switch context quickly without losing track of detail
  • Knows how to prioritise and is comfortable deprioritising lower-value work when something more important comes up
  • Is proactive, spots what needs attention and takes action without needing to be prompted
  • Takes ownership of tasks and follows them through to completion
  • Is confident communicating with people at all levels of a business
  • Is comfortable challenging assumptions, asking questions and expressing a different view
  • Has a strong eye for detail, particularly when working with schedules, project data and operational information
  • Is comfortable working across several systems and keeping information accurate
  • Is pragmatic: you don’t need everything to be perfect before making progress
  • Enjoys improving processes and is confident questioning existing ways of working when there’s a better approach
  • Is confident, personable and comfortable building relationships across different teams

Experience That Would Be Useful

You don’t need experience in every area below, but experience in several would be helpful:

  • Delivery operations, project coordination, PMO or business operations
  • Resource or capacity planning
  • Working within an agency, consultancy or professional services environment
  • Project management or resourcing platforms such as Forecast
  • Coordinating multiple projects or workstreams at the same time
  • Working with senior stakeholders
  • Recruitment or contractor administration
  • Process improvement or workflow automation

About You

Within the first few months, we’d expect you to have developed a strong understanding of how Parallax operates and to have taken ownership of much of the administrative and coordination work around delivery operations.

You’ll have good visibility of what is happening across our schedule, understand where potential resourcing issues are emerging and make sure our data can be relied upon.

Most importantly, success in the role means taking ownership of day-to-day delivery operations and running them independently, bringing in the Operations Manager where their input is needed.

You’ll become someone the wider team trusts to keep things moving, follow things through and flag problems before they become problems.
