Who We Are Looking For
As our Delivery Operations Manager, you will be at the centre of how we deploy and grow our Delivery teams as PhysicsX scales. You will bring together live and forward-looking input from Account Leads, Tech Leads, Commercial and Talent, combining it with accurate allocation and capacity data to build clear, decision-ready views, recommendations and tracked actions. From balancing competing project needs to managing bench, surge, skills gaps and upcoming transitions, you will help ensure the right people are deployed to the right work at the right time.
This is a highly collaborative and hands-on role, combining strong stakeholder management with operational rigour and confidence working with data. You will run and continually improve the end-to-end staffing process, maintain dependable resource-planning information, support the onboarding of new joiners and help translate future demand into hiring priorities. Over time, you will become the trusted owner of staffing operations and capacity insight, introducing clearer processes, better workflows and greater visibility across Delivery.
Responsibilities
- Synthesis of live and forward-looking needs from Delivery / Account teams, turned into clear, decision-ready outputs that help leaders make staffing calls and drive follow-through:
- Account Leads: future account plans, project timing, and changing customer priorities
- Tech Leads (e.g. bi-weekly sync): live staffing needs, team roles and skills fit, upcoming transitions, and delivery risks
- Commercial: pipeline and capacity - likelihood and timing of new work, and whether it can be staffed in the short and medium term
- Talent: staffing theses, upcoming joiners, and hiring priorities - why someone was hired, what for, and which future skills gaps are emerging
- Synthesis of all of this into clear staffing requirements, options, and unresolved decisions
Updating and maintaining resource planning tools (Operating):
- Allocation data, including start/end dates and planned changes
- Project Tech Lead and relevant ownership
- Allocation type: Direct (SoW), Investment, Account Resource Pool, or Surge (temporary)
- Timely capture of staffing decisions so the data stays dependable and traceable
Monitoring resource planning tools and proactively driving issues to resolution:
- Bench levels (too high/low) and utilisation (Allocations / Headcount)
- Surge: how many people, for how long, and whether they should rotate
- Project balance (overstaffed and understaffed)
- Demand feasibility (headcount vs. demand)
- Time-to-staff, skills gaps, and upcoming project transitions
- Investigation of exceptions, with clear options, trade-offs, and recommended actions
- Staffing scenarios, recommendation notes, and prioritisation views that lead to decisions and action

Onboarding of new joiners:
- Point of contact for Delivery onboarding, for both new joiners to the company and new joiners moving onto projects, working with project teams so they have what they need to get up to speed quickly
- Coordinating and maintaining broader Delivery onboarding documentation with the wider Delivery team, keeping it accurate and current
You'll also grow the role by:
- Proposing clearer prioritisation principles for when demand exceeds available capacity
- Partnering with Talent to translate expected demand into recruitment priorities - by role, skills, and timing
- Improving and automating workflows from onboarding through allocation, rotation, and transition

About You
You've got 2-3+ years in a demanding, multi-functional environment - likely strategic operations, resource management, staffing, workforce planning, or something closely adjacent. You're equally comfortable in a CRM or staffing/ERP system, a spreadsheet, or a BI tool, and you know how to work across teams with competing priorities without losing the thread.
You communicate clearly in both directions - up to leadership, across to stakeholders - laying out decisions, options and constraints so nobody's guessing. You've probably worked in an enterprise-platform business that blends product and services, or in fast-paced consulting or professional services. And you've got real evidence of tightening up a process and using data to change how a decision got made, not just talking about it.
What matters more than years on paper is whether you're ready for the seniority this role demands - whether that's someone a few years in and moving fast, or someone more experienced stepping into full ownership.

- Strong negotiator and diplomat. You influence without formal authority and get stakeholders with competing priorities to align.
- Precise and meticulous. You keep systems accurate and current, and you're proactive about being exact in how you communicate.
- Confident with data - not necessarily a programmer, but sharp with spreadsheets, analysis and reporting.
- Able to turn incomplete or conflicting information into clear choices, trade-offs and recommendations, and follow them through to action.
- Genuinely curious about what makes PhysicsX's engineering customers different - role to role, industry to industry, project to project.
- Comfortable navigating an organisation with multiple reporting lines and competing agendas - Tech Leads, Account Leads, Commercial, People, Talent, Finance.
- Hands-on, and energised rather than drained by ambiguity and a fast-changing environment.
