Role Overview

Are you an organised and proactive administrator who enjoys making a real difference to patients' healthcare journeys?

This role supports the Dental Referral Co-ordinator with the day-to-day operation of the Dental Referrals Team within Oxfordshire Community Dental Service (OCDS).

Responsibilities

  • Help ensure referrals are processed smoothly and efficiently.
  • Respond to queries from patients, carers, and professionals.
  • Undertake a range of administrative duties to support the wider service, including the Senior Leadership Team.
  • Handle confidential and complex enquiries from patients, carers, colleagues, and external agencies in line with service procedures and Trust policies.
  • Process and triage dental referrals promptly, monitor the shared mailbox, and escalate breaches of the 12-week referral-to-assessment timeframe.
  • Support the Dental Referral Co-ordinator with administrative improvements, EDI claims, the General Anaesthetic pathway, and service finances, including outstanding patient charges.
  • Maintain accurate electronic patient records, upload radiographs, and process subject access requests while meeting information governance requirements.
  • Liaise effectively with hospitals, Children’s Services, safeguarding leads, senior clinicians, and the Dental Senior Leadership Team.
  • Support weekly performance reporting and produce high-quality documentation using appropriate Microsoft applications.
  • Organise workload to meet deadlines, seek guidance when required, and participate in individual and group supervision.
