Department Coordinator

Temple University's Barnett College of Public Health is searching for a Department Coordinator!

HOURLY RATE: APPROX $24.04 per hour

A variety of important factors are reviewed by HR when considering salary, including job duties, the applicant's education and experience, all relevant internal equity considerations, department budget, and funding source.

Hybrid schedule requiring three (3) days in the office, and ability to work in person Mondays and/or Fridays

Position Summary

The Department Coordinator will report to the Director of Budget & Finance and provide administrative and operational support for the Barnett College of Public Health. The incumbent will perform the assigned duties, resolve routine issues and answer questions under minimal supervision and established policies and procedures.

This position is full-time, 40 hours per week, with a hybrid schedule requiring three (3) days in the office, and ability to work in person Mondays and/or Fridays.

Required Education And Experience

  • Bachelor's degree and at least two years of directly related administrative support experience. An equivalent combination of education and experience may be considered.

Required Skills And Abilities

  • Demonstrated computer skills, and proficiency with MS Office Suite software programs, including Outlook, Word, and Excel.
  • Strong communication and interpersonal skills, along with the ability to interact with a diverse group of students, administrators, faculty, and staff.
  • Strong customer service orientation.
  • Must be able to lift a minimum of 20 lbs.
  • Demonstrated organizational and prioritization skills, and ability to complete tasks within prescribed timelines.
  • Demonstrated ability to be detail oriented.
  • Demonstrated ability to understand and apply University and College policies and procedures.
  • Ability to work 3 days in the office, including Mondays and/or Fridays.

Preferred Skills And Abilities

  • Experience working at a front desk.
  • Experience working in an office setting.
  • Experience with events management.
  • Experience in a higher education setting.

Essential Duties

  • Maintain front desk visitor triage and communications, including phone calls, email, and in-person visitors.
  • Support college's internal communications, including maintaining listserv users and approving listserv messages.
  • Assist with event management including coordinating requests for space, catering, and A/V, as well as preparing meeting materials and providing day-of support.
  • Support Dean's Office operations including purchasing, coordinating shared resources such as copiers and shredding, and maintaining café supplies.
  • Support Budget & Finance Office including maintaining policies, procedures and training materials, running reports for department review.
  • Manage mail and delivery process for Paley Hall. This includes creating shipping labels for outgoing mail, ensuring that packages are sent in a timely manner, coordinating deliveries, and troubleshooting problems.
  • Support building access for the college, including building access requests and key distribution.

This position is assigned a hybrid work arrangement (on-campus and remote), the duration of this hybrid work arrangement is at the discretion of Temple University and the Department.
