Depot Assistant – Sherburn-In-Elmet

Type: Permanent, Full-time

Working Hours: Monday – Friday, 08:00 – 17:00 (40 hours per week)

Job Overview

We are seeking a proactive and detail-oriented Depot Assistant to join our dynamic team. This role is essential in supporting the Depot Manager with the day-to-day running of operations, ensuring smooth workflow, and maintaining efficiency across all depot activities. The successful candidate will also provide cover for the Depot Manager when required, making this a great opportunity for someone looking to develop their leadership and operational skills.

Key Responsibilities

Administrative & Operational Support:

  • Allocate all fleet numbers onto Syrinx.
  • Allocate work to employees on a PDA.
  • Complete and maintain daily stock sheets.
  • Book and coordinate electrical test inspections, ensuring all completed certificates are properly filed.
  • Liaise with Head Office to ensure all van MOTs are recorded and up to date.
  • Liaise with AHN Breakdown team to manage the Vehicle repairs.
  • Record and monitor weekly vehicle mileages.

Transport & Logistics:

  • Assist in planning and coordinating transport.
  • Process external haulier Proof of Deliveries (PODs) & Proof of Collections (POCs).
  • Arrange and book agency drivers when required.
  • Liaise with the Fleet and Transport team.

Fleet & Compliance:

  • Conduct weekly fleet audits on a rota basis.
  • Ensure compliance with company policies and procedures.
  • Support in maintaining accurate and up-to-date records for all vehicles and equipment.

General Duties:

  • Provide cover for the Depot Manager when required.
  • Handle any ad-hoc administrative tasks to support depot operations.

Requirements & Skills

  • Strong verbal and written communication skills.
  • A professional and polite telephone manner.
  • Customer service experience with a problem-solving mindset.
  • Logistics and planning experience (preferred).
  • Confidence and ability to deputise for the Depot Manager when required.
  • Experience handling multiple tasks in a fast-paced office environment.
  • Exceptional attention to detail and accuracy.
  • Strong teamwork skills with the ability to work independently when necessary.
  • Ability to work effectively under pressure with minimal supervision.
  • Proficiency in IT systems including Excel, Word, and Outlook.
  • Previous experience in the plant hire industry is desirable but not essential.
